Adding and Managing Work Order Labels from the List View

Work Order Labels allow you to index and manage related work orders. For example, you may have an emergency situation that affects multiple work orders or work orders across locations. Labeling those work orders allow you to collect them in a way that is meaningful to your facility operations.
You can add a label on a single work order or on multiple work orders in bulk. Once a label is added to the list, you can select it for other work orders after the work orders are created. You can also filter work orders by your labels and download work order reports that includes a label column.
Labels added to work orders can only be seen by Subscribers. Labels will appear on work orders and related invoices and proposals.
You can only add one label to a work order at a time.
Creating a New Label and Adding a Label on Work Orders
Users with the Add Label secondary role can create new Labels to use on all relative work orders. Once the label is created, you can apply them to more work orders by typing and selecting the label name from the smart list.
- On a work order, click Edit Work Order.
- On the top of the right column, click Label.
- Erase 'None' by pressing Delete on your keyboard.
Enter the name of your Label, and then click Add (Label Name) underneath the list.
Once you click Add, you cannot rename or delete the Label name. Double-check your label name before clicking Add.
- Click Save. You will see the label name underneath the Tracking number in the work order list view.
Adding a Label on Multiple Work Orders
You can add labels to work orders by using bulk work order actions. Only users with the Add Label secondary role can create new Labels to use on all relative work orders
- On the work order list, select the work orders you wish to label.
- On the bottom of the screen, click Edit (#).
- On the top of the right column, click Label.
- To create a new label:
- Erase 'None' by pressing Delete on your keyboard.
- Enter the name of your Label, and then click Add (Label Name).
- To add an existing label:
- Click the Label drop-down and select the appropriate label.
- To create a new label:
- Click Save. You will see the label name underneath the Tracking number in the work order list view.
Filtering Work Orders by Labels
You can filter work orders by Label on the List View only. Select the appropriate selections from the Labels drop-down filter to see all work orders related to the selected label(s).
Viewing Labels on Work Order Reports
After a label is added during creation and appears on a work order, you can download the Work Order Regular and All Calls reports from the list view. All the reports include a label column and the label name appears for any work order that is selected.
