Dispatching Project Tasks

When a project has been approved by the last reviewer, it changes the status to In Progress. This allows you can now dispatch any Work Orders and RFPs Tasks associated with a project. This means Service Providers can be notified of any Work Orders and can officially start any RFPs



Dispatching a Single Task

The Project Lifecycle must be in the In Progress status in order or tasks to be dispatched.

⦿ How to Issue Project Tasks
  1. Enter Tasks List in a project to issue tasks.
  2. Check the box next any tasks that needs to be issued.
  3. Click the Start Project button to start the project.
  4. Click the Start button to proceed in the process.
  5. Click the left hand box next to any Work Orders and RFPs Task to be issued.
  6. Click the Issue Selected WOs button to dispatch to Service Providers.
  7. Click the Yes button to confirm sending out tasks. Statuses of tasks will change to Open for Work Orders and In Progress for RFPs.

Dispatching Task in Bulk

Projects that are in the In-Progress status of the Project Lifecycle can have their respected tasks dispatched in bulk. Regardless of the projects, individual tasks can be dispatched in bulk at any time. This offers control and flexibility for when tasks are dispatched to providers. When selecting tasks, you can utilize the filter system to help locate those specific tasks needing to be dispatched. Once those tasks have been submitted, they have been issued to the providers and become work orders with a Tracking and Project ID number.  

⦿ How to Dispatch Tasks in Bulk
  1. Click the Tasks tab to view the ready tasks.
  2. Use the checkbox and select tasks for dispatch.

  3. Click the Dispatch Selected Tasks button to open the modal.

  4. Click the Yes, Issue button to dispatch the tasks. 
  5. Optional: You can view the Batch History. 

Linking, De-linking, and/or Re-linking Work Order Tasks

From within the Task tab, there is the capability of linking, delinking, and/or relinking tasks that have been assigned work order numbers. When this is used, you are essentially deciding on what is being done with current work order task(s). It replaces the process of using the Work Order List View to manually link, relink, or delink works order associated a project that displays the Project ID. It becomes a time saving measure because work order tasks can be linked, delink, or relink in bulk and creates a batch history each time. When work order tasks have gone through this process, it becomes instantly updated in the Projects Module and Work Order List View.


  1. Tasks that have not been dispatched and received a work order number can’t be linked, delinked, or relinked.
  2. You can only link, relink, and/or delink work order tasks within the same location.

⦿ How to How to Link, Delink, and/or Relink Work Order Task
  1. Click the checkbox to select work order tasks

    If you want a blank template, do not check any tasks from the list

  2. Click the Download button to download the template
  3. Read the instructions under the Instructions tab on the template
  4. Fill out the necessary information to link, delink, and/or relink work order tasks
  5. Save the template
  6. Click the Upload button to open the modal
  7. Drag or upload file into modal
  8. Click the Save button to upload the file
  9. Optional: View the batch history for the results
