Filtering and Searching for Proposals
You can locate proposals with the filter and the search tabs. Using these tabs saves time when having to locate specific proposals. Each method provides an accurate and quick approach to finding any proposal.
The filter options allow you to select from a variety of criteria to pinpoint and then find proposals that fit into those selections. For example, you can select the location ID, provider, and amount filters, and proposals will appear on the list view based on the criteria. You can also locate proposals by saving your filter selections for future use. Saved filters can be edited and deleted at any time.
The search options allow you to find a specific proposal by using at least one of the search choices. You can also search for proposals by using the ALP.
Filtering Proposals
You may filter proposals by their status, submission date, assigned user, and other criteria.

On the top navigation bar, click Proposals. Alternatively, you can click the menu icon in the upper-left corner and select RFPs / Proposals > View / Process Proposals.
In the Filters panel, apply filters to retrieve the proposals you need.
Click here to expand the filtering criteria.Proposal Date / Scheduled Date / Action Date. Pick the required date type, and then specify the time period.

- Time Period. Only one of the following options can be selected at a time. The filter defaults to Past Month.
- You can select from the pre-defined options, such as Yesterday, Today, Past Week, Past Month, Past 3 Months, and Past Year.
- Another way to use the filter is to enter the number of Hours, Days, or Weeks in the Past field. Pay attention that the Past filter is limited to one year.

When you need to specify a date range, use the Range section, and pick the required Starting At and Ending At dates. The date range period shouldn’t be more than 5 years.

Be aware that these filtering options work based on the user’s time zone, while the proposals list displays proposals based on the related location’s time zone. When you deal with different time zones, take into account the time difference.
Assignee. Use this drop-down list to view proposals that have a particular assignee or no assignee at all. Should you be assigned to an MLP level, read about the Include Override Proposals filter as well.

- Show All for This Level. Select the checkbox to view all proposals for the MLP level matching the specified assignee.

- Include Override Proposals. When you are assigned an MLP level with override capabilities, you can use this filter to locate proposals not only for your MLP level, but also for the levels below yours. The checkbox works only for the Assigned to Me option in the Assignee filter.

- Proposal Amount. Enter the amount range values to find proposals where the total falls within the specified range.

Proposals Statuses. Select the required checkboxes to display proposals in multiple statuses in the list view.

Trades. Pick the required trades from the drop-down list one by one or all at once. Alternatively, click the list icon to the right to open the overlay with all your trades.

Categories. Pick the required categories from the drop-down list one by one or all at once. Alternatively, click the list icon to the right to open the overlay with all your categories. Select the Include MLP suggested category checkbox if needed.
- Include MLP Suggested Category. This filter option helps you retrieve proposals that are going through the multi-proposal approval (MLP) process and for which a new category was advised at one of the MLP levels.

Location. Use this option to view proposals filtered by any of the following location criteria:
- Location ID
- Location address
- Location name
- Region
- City
- State/Province
Country
- District
- Location Notes. You may filter proposals by location note headers that are set up for your company in the Admin module. Select the LNH first and then specify the required location note values.

GL Code. Type the GL code to search for needed proposals in the GL Code field. GL codes can be added to the proposals during the approval process.

- By a GL code added by previous MLP levels when the proposal has been approved.

- By a GL code of the work order linked to this proposal.

- By an AAC added by previous MLP levels when the proposal has been approved.

- By an AAC code of the work order linked to this proposal.

- By a GL code added by previous MLP levels when the proposal has been approved.
- Additional Approval Code. If proposals have additional approval codes, enter the additional approval code name, and, in the field that appears below the AAC Name field, enter the additional approval code value. You can add several values for one search to view more proposals.
In the example below, the AAC header is "Repair Approval Code," and the AAC value is "63525-2."
Providers. View proposals assigned to specific service providers. To select a provider, click the Providers drop-down menu, and select the desired provider name. Repeat to add more providers.
W.O. Priority. View proposals of the selected WO priority.
- W.O. Status. View proposals of the selected WO status.
- W.O. Extended Status. View proposals of the selected WO extended status.
Labels. Use this drop-down list to select proposals with a specific label assigned.
Projects. Use this drop-down list to select proposals that belong to a particular project. You can select multiple projects.
Proposals with Attachments. Use this toggle to locate proposals with attachments or with no attachments.

- Proposals with a Work Order. Use this toggle to get proposals associated with work orders or associated with no work orders.
- Including Related Proposals. Turn on the toggle to quickly find proposals that belong to the same work order.

The toggle has the following 3 states:- Yes: Only proposals with related proposals will appear in the list view. Related proposals in any status — except for the Void status — will be included.

- No: Only proposals with no related proposals will be in the list view.
Neutral: All proposals, regardless of their relationship to work orders, will be displayed in the list view. That is the default filter state.
Related proposals are proposals that are associated with the same work order.
- Yes: Only proposals with related proposals will appear in the list view. Related proposals in any status — except for the Void status — will be included.
Additional filters may be available depending on your system configuration.
When ready, click Apply.
The maximum number of proposals you can view on the Proposals List is 100. Should you receive an error, go back to the Search and Filter page, and modify your search criteria.

Saving Filters
In your everyday work, you may need to apply the same set of filters over and over again.
For this purpose, once you select the filters you need, you may save them as a set and use this set later on. Also, you can select which of your saved filter sets should appear on QuickView. You can edit or even delete saved filters when you don’t need them anymore.
Your saved filters are only available to you. Saved filters cannot be shared with others.
- Select the desired filtering criteria.
- Click Save Current Filter. A text field appears.
- Enter the filter set name, and click Save Filter.
The filter is saved, and its name is displayed in the My Saved Filters drop-down list.

Editing Filters
After you save a filter set, you may need to edit some of its options.
- In the My Saved Filters drop-down list, select the filter set you want to edit. The Proposals List refreshes applying the selected filter set.
- Add or remove any filtering criteria as needed.
- Click Save Current Filter. The name of your selected filter appears in the text field.
- Click Update Existing Filter.
The filter set is updated.
Deleting Filters
When you don’t need a saved filter anymore, you can delete it.
- Click Edit Filters. The pop-up window with a list of saved filters appears.
- Click the trash icon next to the desired filter, and click Save. The filter is deleted.

Before taking action on proposals, you may have to find the proposals you need. You can search for proposals using the search fields available in the Search panel located to the left of the Proposal List. Alternatively, you can search for a proposal from the Search panel on the ServiceChannel Home page.
Searching for a Proposal from the List View
In the Search panel, you can find the required Proposal using the following criteria:
Proposal number
Work order number linked to the Proposal
Purchase order number
Project ID

On the Proposals List page, click Search to activate the Search panel.
Enter the required number in the corresponding search field.
- Click Enter. The Proposals List will be refreshed with new information.

Searching for a Proposal from the ALP
Alternatively, you can search for a proposal from the Search panel on the ServiceChannel Home page.
- In the Search menu, select by Proposal #.
- Enter the Proposal number in the search field.
- Click SEARCH.
