Asset Manager offers you an easy way to keep track of updates made to assets' attributes as well as of work orders created for your assets. Information gained from reviewing and running reports on your asset’s history provides you with the information you need to make decisions regarding repair versus replace.
Asset Service History
An asset’s Service History is a chronological list of the work orders created to repair or replace that asset. Additionally, you can select to view only Planned Maintenance work orders for the asset. Within each work order, there are clickable links that lead you to information related to the work order, including, proposals, the service providers, and the full work order details.
- Navigate to the hamburger menu, and click Asset (Equipment) > Manage Assets. The assets list opens.
- Locate the desired asset using the required filters, then click the asset tag ID to open the asset details page.
- Switch to the Asset History tab to view the asset Service History.
To view only Planned Maintenance work orders, select the Show PMs Only checkbox.
Asset Revision History
An asset’s Revision History is a series of date specific snapshots that contain all of the updates and modifications made to an asset over time. This can include changes in the condition of the asset, whether or not it is being serviced by a warranty provider, and in instances where the asset contains refrigerants, which refrigerant has been used. A new asset history record is created each time there are modifications to the asset’s attributes.
- Navigate to the hamburger menu, and click Asset (Equipment) > Manage Assets. The assets list opens.
- Locate the desired asset using the required filters, then click the asset tag ID to open the asset details page.
- Switch to the Asset History tab, and then click the Revision History button.
- In the Revision History section, you have the option of viewing all of the asset’s revision histories or a comparison of two or more revisions.
- To view all histories, click the View All button.
To view a comparison of two or more revisions, select the checkbox next to the revision histories you want to compare, and then click Compare Selected.
When you compare several asset revisions, changes made to the asset attributes are displayed in red.
Asset Audit History on Work Orders
All work orders will have an asset tied to them. However, there will be times when the asset on a work order is not the asset that needs servicing. This sometimes happens with complex systems like HVAC and Refrigeration, where the entire unit is comprised of several connected assets and the individual creating the work order is not clear on which specific asset, within the whole, is in fact the asset in need of servicing.
In Service Automation, you can view the asset history on a work order. Any changes in assets will be reflected on the Asset History tab of the work order details page. This feature adds additional visibility and transparency to the work order cycle.
- Navigate to the desired work order, and click View Details to open the work order details page.
- Switch to the Asset History tab.
It may so happen that a work order was associated with an incorrect asset. When someone removes or updates the asset on a work order, the Asset History tab captures each change. See the example below.
Here are the changes that occurred with an asset associated with this work order:
- Added: The asset with the 273648-H tag ID was added to the work order.
- Removed: The asset with the same 273648-H tag ID was removed from the work order.
- Added another asset: The work order was associated with a new asset: 459-AU-12.
Adding Refrigerant from a Work Order
You can enter leak and refrigerant detail from the asset history of an asset. Adding refrigerant can be done from an existing or new work order. It also ensure compliances with various regulatory agency. This option allows for consistency of data between entries made on the SC Provider Mobile, Provider Automation and Service Automation.
- Locate an asset from the Manage Asset page and click the Tag ID or Asset Tag to open its details
- Click the Asset History link to open the asset's history
- Click Add Leak & Refrigerant button to open the modal
- Use the drop-down menu to select a work order
- Answer the leak and refrigerant questions
- Create the Leak Event
- Optional: Create another leak event
- Click Next to continue
- Add required part usage information
- Optional: Add another part usage
- Click the Next button to continue
- Click the Done button to finalize
- Locate an asset from the Manage Asset page and click the Tag ID or Asset Tag to open its details
- Click the Asset History link to open the asset's history
- Click Add Leak & Refrigerant button to open the modal
- Click Create Work Order button to open the modal
- Complete the following:
- Call Date
- Schedule Date
- Category
- Answer the leak and refrigerant questions
- Create the Leak Event
- Optional: Create another leak event
- Click Next to continue
- Add required part usage information
- Optional: Add another part usage
- Click the Next button to continue
- Click the Done button to finalize
Viewing Asset Transfer History
Assets that have been transferred to one location to another establishes a Transfer History to which you can view the history or each transfer transaction. This information includes:
Transferred From
Transferred By
Transfer Date
WO link (accessible by clicking)
From this page, you can generate an Asset Transfer Work Order.

Generating an Asset Transfer Work Order
While viewing the details or history of an asset, there is the ability to submit a request to have an asset transferred to another location.
- Click the Transfer Asset button to open the modal
- Use the drop-down arrow to select a New Location
- Use the drop-down arrow to select a Reason for Transfer
- Click the Generate Transfer WO button to create the work order
