(Step 3) Assigning and Ranking Providers with Provider Quick Assign

Before we learn Step 3 or the Provider Quick Assign process, let’s make a quick recap of the previous steps: 

  • In Step 1, you selected a new provider to swap with another provider or to rank them to specified ranks. You selected either a newly onboarded provider not assigned to any locations or a provider who is assigned to some locations. 


  • In Step 2, you selected a provider to replace or decided to assign a new provider to a specified rank.  

Now, it is time to select locations to which a new provider will be assigned. There are two paths to do it, depending on whether you have chosen to replace a provider with a new one or assign a new provider to specified ranks:

In this case, you select locations to which a new provider should be assigned and can view the rank of the old provider.  

The new provider will be slotted into the ranks of the old provider (only 1 selected provider from Step 2) for the selected locations. 

Using this path, you select the locations to which a new provider will be assigned.  

The new provider will be slotted into the ranks of old providers (could be more than 1) for the selected locations  

Use the instructions below to learn more about the final step of the Provider Quick Assign process for both routes.

Selecting Locations to Swap Providers 

In Step 3 of the Provider Quick Assign process, you will see a table with the following items: 

  1. Trades to which you want to assign the new provider from the left side of the page. You can navigate between trades if you have selected more than 1 trade in Step 2
  2. The number of locations with assignments of the provider getting replaced. 
  3. The Search field to search for specific locations by Location ID, Name, City, State, Region, and District
  4. The Select All button allows you to select all locations from the list. 
  5. The Clear All button de-selects all selected locations on the current Trade tab.  
  6. Checkboxes allow you to select/de-select locations one by one. 
  7. Columns contain information about each location: 
    • Location # 
    • Name 
    • State 
    • Region 
    • City 
    • District 
    • Rank (rank of provider that is being replaced). 
  8. The Load Option allows you to choose how many locations will be displayed on the screen (10, 20, 30, or 40). 
  9. The Page Number allows you to navigate between pages. 

    Note that Closed locations are EXCLUDED in the Quick Assign tool by default. 

    • Deselect the checkbox above the Locations Table to reveal closed locations.


⦿ How to Select Locations to Swap Providers
  1. Click the Trade tab where you want to start location selection. 
  2. Select the checkboxes next to the needed locations or click Select All to select all locations to which the old provider (selected in Step 2) is assigned. 


  3. (Optional) Start typing the Location ID, Name, City, State, Region, and District to search for a specific location.


    1. Select the needed locations from the Results list. 
    2. Click Apply 



      The selected locations from the Results list will be added to the Selected Location section.  
  4. Select locations in other Trade tabs and repeat Steps 2-3 from this instruction.  
  5. Click Preview to see the upcoming changes in provider swapping.  


    On the Preview New Ranks page, you can check: 

    • Locations to which the changes will be applied. 
    • Trades and the rank of the new provider. 

      If you cancel changes at any point during the Provider Quick Assign process, none of the changes except the selected provider from Step 1 will be saved. 

  6. Click Submit to have new rank assignments


    Your new provider will be slotted in the rank of the old provider. The old provider will be retired from the locations.

    If the Provider Quick Assign process is underway and the work order is being created, the provider being replaced would still get the work order. In this case, you should manually reassign that work order. 

Selecting Locations to Assign Rank to New Provider

In Step 3 of the Provider Quick Assign process, you will see a table with the following items: 

  1. Trades to which you want to assign the new provider from the left side of the page. You can navigate between trades if you have selected more than 1 trade in Step 2. 
  2. The number of locations on the current tab. 
  3. The Search field to search for specific locations by Location ID, Name, City, State, Region, and District. 
  4. The Rank button allows you to assign a provider selected in Step 1 to a specified rank for the selected trade and locations or retire this provider from the rank and locations 
  5. The Select All button allows you to select all locations from the list. 
  6. The Clear All button de-selects all selected locations on the current Trade tab.  
  7. Checkboxes allow you to select/de-select locations one by one. 
  8. Columns contain information about each location: 
    • Location # 
    • Name 
    • State 
    • Region 
    • City 
    • District 
  9. The Load Option allows you to choose how many locations will be displayed on the screen (10, 20, 30, or 40). 
  10. The Page Number allows you to navigate between pages.

⦿ How to Select Locations to Assign Ranks
  1. Click the Trade tab where you want to start location selection. 
  2. Select the checkboxes next to the needed locations or click Select All to select all locations to which the old provider (selected in Step 2) is assigned.


  3. (Optional) Start typing the Location ID, Name, City, State, Region, and District to search for a specific location. 


    1. Select the needed locations from the Results list. 
    2. Select the checkbox next to the location and apply the Rank to the provider.  


    3. Click Apply. 



      The selected locations from the Results list will be added to the Selected Location section. 
  4. Click the Rank button to assign a new provider to the selected locations for the trade. 


  5. (Optional) Click Rank to remove the provider assignment from the selected locations and select Retire. 
  6. Select locations in other Trade tabs and repeat Steps 2-4 from this instruction. 
  7. Click Preview to see the upcoming changes in provider ranks.


    Note that once you have assigned a rank to a new provider, old providers will be unassigned from those locations and trades. You can view the changes on the Pre-Preview page. 


    On the Pre-Preview page, you can check: 

    • Locations to which the changes will be applied. 
    • The list of providers and their trades from which they are being retired.  
       
  8. Click Confirm.
    On the Preview New Ranks page, you can check: 
    • Locations to which the changes will be applied. 
    • Trades and the rank of the new provider.

      If you cancel changes at any point during the Provider Quick Assign process, none of the changes except the selected provider from Step 1 will be saved. 


  9. Click Submit to have new rank assignments. 


Your new provider will be slotted in the ranks of retired providers 

If the Provider Quick Assign process is underway and the work order is being created, the provider being replaced would still get the work order. In this case, you should manually reassign that work order. 

The last changes for trades will be displayed under the Provider Assignments tab for a specific location.
