Creating a New Contract

A contract in the Contracted Services is an agreement between you and the provider, designed to detail the agreement about the expected service to be performed by the provider.

⦿ How to Create a New Contract
  1. Click the Create New button in the upper-right corner.

    You will see the overlay where you can provide the information about the contract such as Contract ID, Name, Provider Name, Start and End Date, Trade, and Category.



  2. Enter the unique ID for the contract in the contract ID field. This field is required.

  3. Enter a short description of the contract in the contract Name field. It should not exceed 50 characters. The field is required

  4. Enter the date the contract will begin in the Start Date field.

  5. Enter the date the contract will expire in the End Date field. 

    After the end date expiration, you can find the contracted service under the Inactive tab. 

  6. Select the trade for the contract from the list in the Trade field. The field is required.

  7. Select the category for the contract from the list in the Category field. The field is required.

  8. Select a provider from the list in the Provider field. The field is required.

  9. Once you have provided the information, click the Create button.

    The system will automatically place a new contract on your Contracted Services page. In the screenshot below, the contract for floor cleaning was added.

Editing the Existing Contract

You can change the contract details in the Contracted Services module when the agreement between you and the provider changes: for example, you agreed to extend the contract duration or change the Trade.

⦿ How to Edit a Contract
  1. In the hamburger menu, click the Contracted Services section. The Contracted Services page opens. 
  2. Click View Detail next to the desired contract.
  3. Click the Edit button at the bottom of the page.
  4. Edit necessary information.
    You can easily change the Name of the contract and the duration dates.

    If you already have PM frequencies in the contract, the system will NOT allow you to edit the Contract ID, Trade, Category, and Provider. These fields cannot be updated. To edit them, please, remove all the frequencies from the contract first.
  5. Click Save.
