Creating Refrigerated Rack Assets and Assets Connected to a Rack

Refrigerated rack assets and assets connected to racks are a special kind of refrigerated asset. Assets of this kind have a dependency upon one another, where one is never present without the other.  When loading rack assets and assets connected to a rack, the rack asset must be loaded first in order for connected assets to be associated with it. 

Both rack assets and assets connected to a rack are created at the asset level. When a Rack Asset is created, it is assigned a Rack ID. When an asset connected to a rack is created, it is associated with a Rack ID.

Creating a Rack Asset

To create a rack asset, you should first create a rack asset type. Check Creating Refrigerated Asset Types to learn more.

To be able to add new assets, you need to have the AddAsset permission set to Full for your user role in Asset Manager. Read more about roles and permissions in Asset Manager.

⦿ How to Create a Rack Asset
  1. Navigate to the hamburger menu in the top-left corner of the page, and select Assets (Equipment) > Manage Assets. You land on the assets list.

  3. In the Location field, select the location where the asset will be assigned by entering the location ID.
  4. (Optional) In the Area (Physical/Serving) field, enter the location within the facility where the asset will be placed.
  5. (Optional) Select the Work Order Area.
  6. In the Asset Type field, select the Rack asset type that you created earlier.Creating a rack asset

    Following the selection of the Asset Type, the page populates with the attribute fields associated with the rack asset type. Fields with a red asterisk * are required, and an appropriate value must be entered. Which fields are mandatory depends on the settings you configured for the asset type attributes. Attributes marked as Required must be filled out when you create assets of this type.

  7. Provide information on the rack asset.

    1. Enter a unique Tag ID which is the identification number of your asset.
    2. Enter a unique Asset TagJust like the asset tag ID, the asset tag should be unique. To be able to scan assets, enter the appropriate Asset Tag — which is the decoded value contained in a barcode, QR code, or NFC tag.
    3. Select the Asset Contains Circuits checkbox if your rack contains circuits.
    4. In the Refrigerant Usage Type field, select the Rack type.
    5. Select the Has Leak Detector checkbox if there is a leak detector installed to monitor the refrigeration rack you are creating. 
    6. Select Is Tracked by CARB if your rack asset falls under the purview of the California Air Resources Board and therefore should be tracked.
  8. Complete the Refrigerant Properties section.

    1. Rack ID: Enter a rack ID. It can be the same as the asset tag ID. After you create a rack asset, your next step implies creating assets connected to this rack. To associate assets with your rack, you should use the rack ID.
    2. Rack Type: Select the temperature range of the rack.
    3. Refrigeration Type: Pick the refrigerant type the asset is using.

      Before you select a refrigerant type, make sure the refrigerant types are added to Inventory Manager. Note that this drop-down list displays refrigerants that have the Refrigerant part type in Inventory Manager.

    4. Operational Status: By default, the operational status for your new asset is set to Normal Operation. You can select a different status from the drop-down list.

      INACTIVE Taken out of service completely disconnecting the unit in such a way that it cannot be reactivated without repair.

      MOTHBALLED The refrigerant has been evacuated from an appliance (or from the affected isolated section or component of an appliance) to at least atmospheric pressure and to temporarily shut down that appliance.

      NORMAL OPERATION The system is operating at the expected normal procedure.

      PROVISIONAL OPERATION The system is operating but is subject to change.

      REMOVE The system has been removed from use completely to be relocated or disposed of.

      RETROFIT IN PROGRESS The system is currently in the process of being retrofitted.

      SEASONAL - NON-OPERATION The system is only used when season conditions require the use of the appliance, and it is currently not in operation.

      SEASONAL - OPERATION The system is only used when season conditions require the use of the appliance, and it is currently in operation.

      SHUTDOWN The system is turned off and can be turned back on. 

      UNDER REPAIR The system is currently being fixed.

  9. Provide the Initial Charge Info.

    1. Total Charge: Enter the current amount of refrigerant gases contained in the asset in pounds and ounces or in kilograms and grams — depending on the way the settings are configured for you.
    2. Vendor: Select the provider who identified the total charge of the system. If the required provider isn’t on the list, click + Add Vendor, and add the provider manually.

    3. Effective Date: Pick the date when the ​initial charge​ was done.
    4. Initial Charge: This checkbox is selected by default denoting that the total charge you entered earlier will be considered the asset initial charge amount.
    5. Description: Method of how the initial charge was taken.
  10. (Optional) Complete the additional fields. These are asset attributes that are not marked as Required for this asset type.

  11. Click the Add Asset button to complete the creation of the rack.

Your rack has been created and appears on the assets list. Click the asset tag ID to view the asset details.

Creating an Asset Connected to a Rack

To create an asset connected to a rack, the rack must first be created so that it is selectable during the process of creating an asset connected to a rack.

⦿ How to Create an Asset that is Connected to a Rack
  1. Navigate to Assets (Equipment), located under the hamburger menu in the top-left corner of the page.
  2. Select Manage Assets. You land on the assets list.

  4. In the Location field, select the location where the asset will be assigned, by entering the location ID.
  5. (Optional) In the Area (Physical/Serving) field, enter the location within the facility where the asset will be placed.
  6. Select the required Asset Type.
  7. In the Refrigerant Usage Type field, select Connected to a Rack.

  8. In the Rack Connection field, select the Rack ID that the asset will be connected to. You can click Rack Details to view detailed information on the rack you’ve selected.

  9. Complete the remaining required fields (those marked with a red asterisk *) and additional fields.
  10. Click Add Asset to complete the creation of the asset.

Your asset has been created. On the asset details page, you can switch to the Refrigeration Details tab to see which rack the asset is associated with.
