Viewing Locations in Inventory Manager

When on the Locations tab, you can view inventory locations either in the list or detailed view.

Please note that inventory locations created in Locations & Provider Assignments will not appear in Inventory Module until you upload stock records for these locations.

Locations List View

The list view provides an overview of each inventory location, including the following information:

  • Location number
  • Location name
  • Location typeThe location type is also represented by an icon next to the location number.

  • Number of parts on hand at each location. The downward arrow next to the number indicates that the location has parts that go below the on-hand or minimum quantity.

Filtering and Sorting Inventory Locations

To view information on specific locations, you can apply the desired filtering criteria.

⦿ How to Filter Locations
  1. Click Filter By below the Locations tab. The filters panel appears.

  2. Set the desired criteria:

    • Location Types: Select the checkbox next to the location types you’d like to view: Warehouse, Truck, Supply House, or Location.

      The type your location belongs to is defined on the location details page in the Locations & Provider Assignments section.

    • Pick the Inactive checkbox to find locations that used to store inventory but then were moved out of the inventory locations list by removing stock from these locations as well as the Inventory Location checkbox on the location details page.

    • Location Name: Pick the desired locations from the drop-down list.
  3. Click Apply. The page updates showing locations that match the specified criteria.

In addition to applying filters, you can sort locations in ascending or descending order.  Column headers above the locations list serve as sorting criteria.

⦿ How to Sort Locations
  1. Mouse over the required column header. An arrow appears next to it.
  2. Set the arrow either in ascending or descending order.

Locations Detailed View

Should you need more details on a location and parts that are housed in there, you can dive into the location details.

On the locations list, click the desired location. The details panel opens to the right of the locations list.

Check what things are available in the details panel.

  1. Location whereabouts in the map view as well as location details
  2. Criteria for filtering parts
  3. List of parts kept at the location, containing such details as:
    1. Part number
    2. Part name
    3. Part type
    4. Part group
    5. Maximum and minimum quantity of parts for this location
    6. On-hand quantity at the location
  4. Precise whereabouts of each part within a location: area, aisle, shelf, and bin.
  5. Add Part button for adding a part to the location

Adding Parts to Locations

In the details panel, you can add new parts to a location.

To add parts to a location, make sure you have the Create Stock permission.


⦿ How to Add Parts to a Location
  1. Click Add Part at the bottom of the details panel.

  2. Select the Part Number from the drop-down list. The list contains parts from your general parts catalog. You cannot create a new part here; you can only add a part that already exists in your catalog. Learn about Uploading Parts to Your Catalog.

  3. (Optional) Enter the Maximum and Minimum quantity of parts for this location.

  4. Specify the On Hand quantity of parts at the location.
  5. (Optional) Specify the Area, Aisle, Shelf, and Bin for the part. Having the part’s precise whereabouts helps you find the required part at a location faster.
  6. Click Add. The part is added to the location.
    Alternatively, click Add and Create Another to add another part to the location, and repeat steps 2–5.

Editing Parts from the Location Detailed View

From the location detailed view, you can update such part details as:

  • Part minimum and maximum quantity
  • On-hand quantity
  • Whereabouts of a part within a location

Make sure you also have the required permissions. Check the table below to see which permissions are required, and ask your administrator to enable them for you.

⦿ How To Update the Part Min/Max and On-Hand Quantity

Find the desired part, click the number you need to update, and enter the relevant quantity.

Alternatively, click the bin icon, and modify the quantities in the overlay that appears. When ready, click Update.

Adding the Area, Aisle, Shelf, and Bin information for a part helps you minimize the time spent looking for the required items within your inventory location.

⦿ How to Add or Update the Whereabouts of a Part Within a Location

Click the bin icon next to the required part. In the overlay that appears, you can specify the Area, Aisle, Shelf, and Bin. When ready, click Update.

Viewing Upcoming Cycle Count in Inventory Location

Location Inventory

The Cycle Count is available within the location under Inventory Locations tab. From there, you can go into the details of the Cycle Count to view all included parts for the Cycle Count. Once inside, manually add the number of parts for a particular inventory to calculate the Total Variance Cost which represents the total cost of parts used in the inventory minus from the System Total Cost. You are able to search for a specific part by using the textbox and minimize part sections. 

Please, contact your ServiceChannel representative should you need to change the decimal point (.) to decimal comma (,) on non-monetary amounts, such as: 

  • Hours and Duration 
  • Quantity Amounts 
  • Weight. 

⦿ How to Complete a Scheduled Cycle Count
  1. Select a location from the Locations Tab where the cycle count is needed

  2. Click the Cycle Count link to view the Cycle Count list 
  3. Select a Cycle Count from the list and click the Details link to open the modal.
     
  4. Click the Pencil icon to edit the details of the Cycle Count.

  5. Add the number of parts for each inventory count.
  6. Optional: Click the Save for Later button if needing to stop. 
  7. Click the Approve button when finished.

Viewing Cycle Count Report

Once a Cycle Count has been completed, it can be approved by the user along with making updates to the count, view previous cycle counts, download, and print the report when needed. The information includes: 

  • Viewing Cycle Count Status
  • Viewing Cycle Count History
  • Viewing Cycle Count Audit Trail


⦿ How to Download a Cycle Count
  1. Inside the Cycle Count, locate the Download icon in the upper right corner.
  2. Click the Download icon to download the report. 
  3. Open the spreadsheet to view the report. 
⦿ How to Print a Cycle Count
  1. Inside the Cycle Count, locate the Print icon in the upper right corner.
  2. Click the Print icon to print the report. 
  3. The report opens in a new tab for printing.
