Creating Transfers

Decide which type of inventory transaction you need to conduct: store, standard, or restocking transfer. Then, follow the corresponding instruction below.

You should have the Manage Transfers permission to create inventory transfers. Read more about Subscriber Permissions.

Creating a Store Transfer

Store transfers are immediate, meaning that the quantity of the part to be transferred is deducted immediately from the on-hand quantity of the part at the source location and added to the on-hand quantity at the destination location.

Every time you create a store transfer, a work order gets generated with the transferred parts listed under work order materials. Before you create a transfer, you need to define default work order parameters that all work orders created in the event of an inventory store transfer should have: WO status, category, priority, provider, etc. See Setting Up Rules for Store Transfers for more details.

Please note that no store transfers can be created for inventory parts with the Refrigerant part type.

⦿ How to Create a Store Transfer
  1. Navigate to your Parts Catalog.
  2. Apply filters to find the parts you want to transfer.Filtering parts in the parts catalog
  3. Click Add to Cart next to the part you want to transfer.

    You will be asked to select the trade and provider for the store transfer only if your Inventory Administrator configured this option for you in Inventory Administration. Selecting the required trade and provider (rather than having a default trade and provider combination for all store transfers) helps you associate your store transfer work orders with correct GL codes and ensure the parts are billed correctly.

  5. (When applicable) Pick the Trade for the work order that will be generated in the event of the store transfer.
  6. (When applicable) Pick the Provider for the work order that will be generated in the event of the store transfer.

  7. Specify the Source — the location you want to take the part from.
  8. Specify the Destination — the location that is intended to receive the transferred items.Overlay for selecting the source and destination locations
  9. Click Create to proceed.

    Should you receive the following error message, ensure that the selected provider is assigned to the selected trade and the destination location in Locations & Provider Assignments.

  10. Define the part quantity that should be transferred.

  11. Click Add to add the selected item to the cart. The Cart in the upper-right corner will reflect the number of items ready to be transferred.
  12. (Optional) To add more parts to the cart, repeat steps 1–9.

    When you need to add other parts to a store transfer, keep in mind that they can only be taken from the same source location and shipped to the same destination location as the very first part you added to your cart. Otherwise, you will need to create a separate transfer.

  13. When all the desired parts are added, open your Cart.

  15. Click Submit in the upper-right corner of the shopping cart to create the transfer.

    If you get an error, and the store transfer is not created, please ensure that the default provider that you selected for store transfers in your store transfer settings is assigned to the destination location and the corresponding trade in Locations & Provider Assignments.

Success! Your store transfer has been created. You can find your new store transfer under the Receiving tab of Inventory Manager. See Viewing Store Transfers for more information.

A service request for the store transfer has been created for the destination location. Key work order details, such as category, priority, status, and provider, are pulled from your store transfer rules configured in Inventory Administration.

  • The parts will be listed under the Invoice & Materials / Parts tab.
  • The not-to-exceed (NTE) amount of such work orders will equal the number of parts transferred multiplied by the part price per unit.
  • Transfer-related work orders will be created for the destination location. In other words, the location that is supposed to receive the requested items.

Creating a Standard Transfer

Here you will learn how to create standard inventory transfers. Apart from moving parts from a single source location to a single destination location, a standard transfer can also be created to transfer inventory items from a single source location to multiple destination locations.

⦿ How to Create a Standard Transfer
  1. Navigate to your Parts Catalog.
  2. Apply filters to find the parts you want to transfer.Filtering parts in the parts catalog
  3. Click Add to Cart next to the part you want to transfer.

  4. Set the Transaction Type to Standard Transfer.

  5. If the transfer should be immediate, select the Immediate Transfer checkbox.

    When you opt for an immediate transfer, the quantity of the part to be transferred is immediately deducted from the source location and added to the part on-hand quantity at the destination location.

  6. Specify the Source — the location you want to take the part from.

  7. Specify the Destination — the location that is intended to receive the transferred items.
  8. Click Create to proceed.
  9. Define the part quantity that should be transferred. You can either enter the quantity in the text field or click the plus/minus buttons to set the required quantity.

  10. Click Add to add the selected item to the cart. The Cart in the upper-right corner will reflect the number of items ready to be transferred.
  11. (Optional) Repeat steps 1–10 to add more items to the cart.
  12. Navigate to your Cart.

  13. Select the Add parts to any open transactions for the selected sources checkbox if you want to add the part to an existing open transaction with the same source location

  14. (Optional) Adjust the part quantity to be transferred.When in the cart, you can adjust the part quantity to be transferred
  15. Click Submit to create the transfer.

Once you click Submit, the system will create the corresponding number of transfers:

  • There will be one transfer created if all the parts you want to transfer come from a single source location.
  • There will be several transfers created if the parts you want to transfer come from different source locations: the number of transfers will equal the number of source locations involved.

Creating a Restocking Transfer

Restocking transfers are created automatically according to the restocking rules and schedule you configure in Inventory Administration.

Once restocking transfers are created, you can view and take action on them under the Transactions tab.

By default, restocking transfers are created in the Picking status. No changes can be made to the list of items to be transferred when the transfer is in this status. However, your FTM internal techs can update the part quantity to be shipped or add more parts to the upcoming transfer from the SC Provider mobile app before the restocking routine runs. Once the routine runs per the configured schedule, the only way to update the part quantity to be shipped is to move the transfer back to the Open status and then adjust the part quantity.
