Taking Action on Proposals in Dashboard 2.0

Once you have received proposals from providers, you can take action on them from the Approve Proposals page, such as approve, place on hold, reject, edit, or assign them to specific employees in your organization.

Taking Action on a Proposal

Now that you are on the Approve Proposals page, you can take action on proposals.

⦿ How to Take Action on a Proposal
  1. On the proposals list, locate the desired proposal, and click Go under Action.

  2. On the page that appears, choose what you want to do next.

    Displayed options differ depending on the action you select. You cannot modify your name, proposal trade, and proposal amount. Whether or not you can edit the work order category depends on the permissions set by your administrator.

    In the Multi-Level Proposal (MLP) Approval setup, your administrator configures the actions you can take on proposals.

    1.  To put on hold, approve, or edit a proposal:
      1. Select the action you want to take on the proposal in the Action dropdown: Edit, place On Hold, or Approve.

        Before approving or placing a proposal on hold, please note the following:

        • You cannot approve a proposal if its amount exceeds your approval limit set by your administrator. The Approve option is unavailable in this case.
        • You cannot place a proposal on hold if it’s already in this status.
        • Should your company have the Multi-Level Proposal (MLP) Approval configuration enabled, you cannot put a proposal on hold if the linked work order is in the Completed status. You can only edit, approve, or reject such a proposal.

      2. In the WO Selector list, pick a work order to link to the proposal:
        • Original: Service request currently associated with the proposal. You can change the WO category (if permissioned) and priority.
          If no service request is linked to the proposal and you don’t want to generate a new work order or pick an existing one, leave the Original option selected, and go to step iii.
        • New: Pick this option to create a new service request and link it to the proposal. To proceed, set the work order category and priority.
        • Existing: If there are service requests the trade and location of which match those of the proposal, you can choose an existing work order in the Work Order Number dropdown and attach it to the proposal. The selected service request gets linked to the proposal. You can change the WO category (if permissioned) and priority.

          You can edit a proposal or put it on hold without attaching a work order to it, but you cannot approve a proposal if it doesn’t have a linked service request.

      3. (Optional) Enter a comment describing why you’re taking this action on the proposal.

        When approving a proposal, pick a reason for doing so if your company has this feature enabled. Admin users can configure proposal approval reasons in Service Automation in Admin > Proposals > Proposal Approve Reasons.

      Your company’s settings determine who gets an email notification about the action taken on the proposal once you click Submit.

    2.  To reject a proposal:
      1. Pick Reject in the Action dropdown.
      2. Select a reason for rejecting the proposal.
      3. (Optional) Enter a comment describing why you’re rejecting the proposal.
      4. (Optional) Update the email address to which you want to send a notification about the rejected proposal. The email address of the provider who submitted the proposal is set by default.

      An email notification about the rejected proposal will be sent to the specified email address once you confirm the action.

    3.  To assign a proposal:
      1. Pick Assign in the Action dropdown. When reassigning a proposal to another user, this option appears as Reassign.
      2. Select an employee to assign the proposal to in the Assigned User dropdown.
      3. (Optional) Edit the note that will be displayed to the user you assign the proposal to.
      4. (Optional) Update the email address of the employee the proposal is assigned to. The email address of the selected user is set by default.

      An email notification about the assigned proposal will be sent to the specified email address once you confirm the action.

  3. Click Submit to confirm.

When done, you may click a link on the confirmation page to view the updated proposal on the Proposal History page.
