Viewing Parts

You can view your parts in the list view or and detailed view.

Parts List View

On the parts list, you can view the following information on your parts:

  • Part picture
  • Part number
  • Part name
  • Part group
  • Part type
  • Supplier
  • Price
  • Total on-hand quantity across all of your locations

List of parts in Inventory Manager

TermDefinition
PartItems that are stored at an inventory location, for example, pipe fittings, light switches, power outlets, fan motors, or refrigerants.
NumberNumber you give to a part when adding it to your general parts catalog.
NameName that you give to a part when adding it to your general parts catalog.
TypeGeneral term for defining the part purpose or the field of use. For example, you may have such part types as Tools, Lights, Refrigerant.
Group

Within the same asset type, you can arrange your assets into groups. 

For the Tools part type, there may be such a part group as Electrical, meaning that all parts of this group are used for the electrical trade. Another part group within the Tools part type, could be Plumbing, meaning that all of the parts are used for the plumbing trade.

Maximum quantityThe max number of a part that should never be exceeded at the location.
Minimum quantityThe least number of a part that should never fall below at the location.


Filtering and Sorting Parts

Take advantage of the filters at the top of the parts list to quickly find the items you need to view and weed out those you don’t need.

⦿ How to Filter Parts
  1. Click Filter By below the Parts Catalog tab. The filters panel appears.

  2. Set the desired criteria:
    • Status. Select the Inactive checkbox to see all of your inactive parts.

      An inactive part is a part that is no longer inventoried. It could be a part that is no longer manufactured or has been replaced by another part.

    • Part number

    • Part name
    • Part type
    • Part group
    • Brand
  3. Click Apply.

The page updates showing parts that match the specified criteria.

When required, you can sort parts in ascending ↑ or descending ↓ order. Column headers that you find on the parts list serve as sorting criteria.

⦿ How to Sort Parts
  1. Mouse over the required column header. An arrow appears next to it.
  2. Set the arrow either in ascending or descending order.

Part Details View

When you need more information on a part, click the part on the list to open the details panel.

Part detailed view

The details panel consists of the following sections:

  1. Part picture
  2. Part detailed information
  3. Criteria for filtering the locations where the part is kept. You can filter by location name, number, type, and status.
  4. List of locations where the part is stored, including such details as:
    1. Location name
    2. Location number
    3. Location type
    4. Minimum and maximum quantity of each part for this location
    5. On-hand quantity of each part at the location
  5. Precise whereabouts of each part within a location: area, aisle, shelf, and bin. Hover over the bin icon to view this information.
  6. Add Stock Record button for adding the existing part to new locations
  7. Edit button to modify the information on the part
  8. Close button to exit the part detailed view


Adding Stock Records

To specify more inventory locations where this or that item is kept, you can add stock records via the part detailed panel.

⦿ How to Add a Stock Record
  1. Click Add Stock Record in the lower-left corner of the panel.

  2. From the Location Number drop-down list, select the number of the inventory location you need to add the part to.
  3. (Optional) Enter the Minimum and Maximum quantity of this part that should be stored at this location. 
  4. Specify the On-Hand part quantity for the location.
  5. (Optional) Specify the Area, Aisle, Shelf, and Bin for the part.

    Having the part’s precise whereabouts helps you find the required part at a location faster.

  6. Click Add. The stock record gets added.
    Alternatively, click Add and Create Another to save the current stock record and create another one. Repeat steps 2–6.

Editing Parts

When you need to add a photo to an existing part, change the part name, price, supplier, or other details, you can access the overlay for part editing right from the part detailed view.

⦿ How to Edit a Part
  1. Click Edit in the upper-right corner of the part detailed panel. The overlay for part editing opens.

  2. Make the required updates, and click Save to capture your changes.
