Updating Scheduled Date and Adding Notes and Attachments

From the Attachments & Notes tab, you can:

Adding Notes and Changing the Scheduled Date

To communicate with your clients about work orders, we recommend using Notes. This is beneficial so your clients are clear on exactly what is happening with each work order, and so your clients can also communicate with you on any issues that may delay your activities onsite.Ā 

You can also update the Scheduled Date when you cannot make it onsite by the original date set on the work order. Note that work orders that are not rescheduled will appear inĀ red on both your list and your client's list.

Important

When you do not adjust the Scheduled Date to reflect the actual time your company will arrive onsite, it will be marked negatively in your Contractor Scorecard. See Contractor Scorecard for more information.

Adding Notes

ā¦æ How to Add a Note to a Work Order from the Work Order List
  1. From the Work Orders list screen, located theĀ desired work order, and then clickĀ AddĀ Notes.

  2. In theĀ NotesĀ text box, enter the details of the note.

  3. (Optional)Ā Check the Action Required boxĀ to alert recipients to take further action on a work order.

  4. (Optional)Ā Inside the Add Addressee(s) box,Ā type or select the name(s) of the people you wish to copy to the note.

  5. (Optional) Click theĀ Select a File button, to add, up to 5 attachments with brief descriptions.
  6. Click Save and Send Note to complete the process.

ā¦æ How to Add a Note to a Work Order from the Detailed View
  1. In the detailed view of the desired work order, under theĀ Attachments & NotesĀ tab, clickĀ Add Note/Update Schedule Date. TheĀ Note <#> for <WO #>Ā window opens.
  2. Enter your notes in theĀ NotesĀ text box.
  3. (Optional)Ā Check theĀ Action RequiredĀ box.
  4. (Optional)Ā Inside the Add Addressee(s) box, type or select the name(s) of the people you wish to copy to the note.
  5. (Optional)Ā Check theĀ Send a Copy to MyselfĀ box, and (when not available) enter desired email in theĀ My EmailĀ box.
  6. (Optional)Ā Add an attachment:
    1. In the bottom of theĀ Note <#> for <WO #>Ā window, in theĀ Add AttachmentĀ section, clickĀ Select a File.
    2. Browse to the location of the desired file, and clickĀ Choose. The selected file appears in theĀ NotesĀ window.
    3. Enter a brief description about the attachment.
    4. Repeat steps 7a - 7c to add up to 5 files.
  7. ClickĀ Save andĀ Send Note. The note details display in theĀ Attachments & NotesĀ tab. The selected recipients receive email notifications.

When you receive an email notification about a note added to a work order, you can add a new note from the email. In the email, you can see the last and the last but one added note (if any).

ā¦æ How to Add a Note to a Work Order from an Email Alert about a New Note
  1. Click Create New Note in the email. You are prompted to log in to Provider Automation if you are not logged in.

  2. You land on the Work Orders List where you can add a new note to the service request.

  1. Reply to the email, and type your note in the reply.
  2. Send the email.

    Ensure the original message is included in the reply.

The client gets an email notification about a new note added to the work order.


Updating Scheduled Dates

Updating the Scheduled Date on work orders is imperative for communication with your clients. By doing so, your clients know when they should expect you onsite to repair the issue, in line with your current service level agreements. Should you need to reschedule ā€” say, due to weather, material shortage, technician shortage, or other reasons ā€” you may do so on the work order within Provider Automation.

Projected Completion Date

In addition to scheduled date for a work order, some clients may also require you to enter a projected completion date for the work order, which is the date/time when you expect the work to be complete. When you are required to enter this information,Ā Projected Completion Date field will appear when updating a work order.

Important

When you do not adjust the Scheduled Date to reflect the actual time your company will arrive onsite, it will be marked negatively in your Contractor Scorecard. See Contractor Scorecard for more information.

Some clients may have a limit on the maximum number of times a work order can be rescheduled to a later date. Should one or more of your clients have this setting, when you have rescheduled a work order the maximum number of times, you will get a warning message. Should you try to reschedule the work order after this, the status changes to Open/Declined, and the work order is automatically reassigned to a different service provider.

ā¦æ How to Change the Scheduled Date on Work Orders from the Work Order List

  1. On the desired work order on the Work Orders List, clickĀ Add Note.Ā TheĀ Note (x) for (Tracking Number x)Ā modal appears.
  2. Enter aĀ Note explaining why you are rescheduling.
  3. Choose a newĀ Scheduled Date using the calendar picker, and enter a new timeĀ (in military time).
  4. Choose the appropriateĀ Reschedule Reason, such as Weather, Store Manager Requested, Provider Scheduling Conflict, etc.

  5. (When requested by your Client) Enter theĀ Projected Completion Date indicating the estimated date and time when the work will be complete.
  6. (Optional) Select the desired recipient(s) in theĀ To Send Email Select Addressee(s) list.
  7. (Optional) Check theĀ Send a Copy to Myself box.
  8. ClickĀ Save and Send Note. The note updates on each work order selected.

Adding Notes and Changing the Scheduled Date in Batch

Note: You may process up to 200 work orders in a batch.

  1. On the Work Orders List, check the boxes next to 2 or more desired work orders.
  2. On the bottom of the work order list, clickĀ Add Note.Ā TheĀ Add Note (x Work Orders)Ā page appears.
  3. Enter the desired comments in theĀ NoteĀ text field.

  4. ClickĀ Save. The note updates on each work order selected.

Adding Attachments

You may add up to 5 files to a work order at a time.

You may also add an attachment to a work order through email by sending an email with the attachment to attachments@servicechannel.net withĀ the tracking number of the work order in the email subject.

  1. In the detailed view of the desired work order, under theĀ Attachments & NotesĀ tab, clickĀ Add AttachmentĀ on the left side of the panel. TheĀ Upload AttachmentĀ modal opens.
  2. ClickĀ Browse a file, browse to the location of the desired file, and then clickĀ Choose.
  3. Enter a brief description of the attachment.
  4. ClickĀ Upload. The new attachment displays in the left section of the page.
ā¦æ How to Add Multiple Attachments
  1. In the detailed view of the desired work order, under theĀ Attachments & NotesĀ tab, clickĀ Add Note/Update Schedule Date. TheĀ Note <#> for <WO #>Ā window opens.
  2. Enter your notes in theĀ NotesĀ text box.
  3. In the bottom of theĀ Note <#> for <WO #>Ā window, in theĀ Add AttachmentĀ section, clickĀ Select a File.
  4. Browse to the location of the desired file, and clickĀ Choose. The selected file appears in theĀ NotesĀ window.
  5. Enter a brief description of the attachment.
  6. Repeat steps 3 - 5 to add more files.

    You may add up to 5 attachments at a time.

  7. ClickĀ Save andĀ Send Note. The attachments display under theĀ Attachments & NotesĀ tab, and a note appears with the details of the attachments

Deleting an Attachment

In case an attachment is not required, you may also delete it from theĀ Attachments & NotesĀ tab. Note that attachments added can be deleted only by the user who added them.

ā¦æ How to Delete an Attachment
  1. In the detailed view of the work order, under theĀ Attachments & NotesĀ tab, click theĀ DeleteĀ icon next to the desired attachment. The attachment is removed, and note displays indicating the attachment was deleted.

    In case an attachment was added through the Invoice module, only the user who added the attachment can delete it. The Delete icon next to a file added through the Invoice module is greyed out for all other users.

User vs System Notes

The default filter selection is the All Notes tab which shows both system and user created notes. Click on the System Created tab to only view notes that were system created. Click on User Created to only view notes your users have created.
