Taking Action on SC Mobile Proposals with Decision Engine

The Decision Engine tool displays above each proposal, as illustrated to the right:

 

Tapping the proposal and expanding Supporting Intelligence displays Service Provider Performance and Proposal Price Quartiles.

To view the 5 most recent work orders and proposals that are similar to the current work order and proposal scope of work, log into Service Automation.

Only the primary currency displays in Price Quartiles.

Approving Proposals using Decision Engine in SC Mobile

You may approve a proposal based on your business practices, even when Decision Engine shows a ‘Reject’ recommendation.

⦿ How to Approve a Proposal
  1. On the desired Proposal, approve the proposal based on Decision Engine metrics and your business practices:
    • (Proposals with an ‘Approve’ recommendation) Tap the green Approve recommendation in the middle of the proposal or tap Approve in the Actions area.
    • (Proposals with a ‘Reject’ recommendation) Tap Approve in the Actions area.
  2. A green dialog box appears.

    1. To approve proposals linked to a work order:
      • To keep the same work order:
        1. Tap Approve with Existing WO. The Confirm WO Information page appears.
        2. Review the work order details for accuracy, and then tap Proceed. The existing work order is updated, and the proposal is marked as Approved.
      • To change the work order:
        1. Tap Approve with New WO. The Confirm WO Information page appears.
        2. Review the work order details for accuracy, and then tap Confirm / Create WO. A new work order is created, and the proposal is marked as Approved. The new work order number is listed on the proposal, where you may tap it to view the details.
    2. To approve proposals NOT linked to a work order:
      1. Tap Approve with New WO. The Confirm WO Information page appears.
      2. Review the work order details for accuracy, and then tap Confirm / Create WO. A new work order is created, and the proposal is marked as Approved. The new work order number is listed on the proposal, where you may tap it to view the details.

Rejecting Proposals using Decision Engine in SC Mobile

When rejecting a proposal, you must select a reason for that rejection, using reason codes. This is beneficial so service providers can have more information on the rejection, thus allowing them to adjust and resubmit the proposal.

Reasons codes available to reject are:

  • more information is required,
  • a change in scope of work,
  • the work is no longer needed, or
  • costs/materials are higher than expected.

You may reject a proposal based on your business practices, even when Decision Engine shows an ‘Approve’ recommendation.

⦿ How to Reject a Proposal
  1. On the desired Proposal, approve the proposal based on Decision Engine metrics and your business practices:
    • (Proposals with a ‘Reject’ recommendation) Tap the red Reject recommendation in the middle of the proposal or tap Reject in the Actions area.
    • (Proposals with an ‘Approve’ recommendation) Tap Reject in the Actions area.
      A red dialog box appears.
  1. Tap Reason for Rejection and select the appropriate Reason Code.
  2. Enter Comments related to the rejection and chosen reason code.
  3. Reject the proposal with or without notifying people:
    1. To reject without sending notifications:
      1. Tap Proceed. The proposal is marked as Rejected.
    2. To reject and send notifications:
      1. Tap Select People to Alert to send an email notification of the rejection. The Notifications page appears.
        1. By default, the service provider is selected. Tap the names of listed people, and/or tap Add Email + to send notifications to unlisted people.
        2. Tap Send. The proposal is marked as Rejected.

Additional Proposal Actions

Along with approving and rejecting proposals, you may also place them on hold or assign the proposal to another person.

⦿ How to Place a Proposal On Hold
  1. After locating the desired Proposal, tap On-Hold. The proposal is marked as On Hold.

You may take a proposal off hold by tapping On-Hold again. The icon will change back to blue, indicating the change.

⦿ How to Assign a Proposal to another person in your organization

When assigning a work order you still may be able to take action on the work order.

You cannot undo a proposal assignment. Once you assign a user, you can only reassign it to another user. You cannot remove the assignment.

  1. After locating the desired Proposal, tap Assign. A list of users appears.
    1. Tap the desired user, and then tap Assign. The proposal is marked as Assigned, and the username of the assignee is listed on the proposal.
