Responding to Work Orders through SMS Alerts

This is an optional feature that is turned on by your client.

To respond to non-maintenance work orders from a client through SMS Alerts, you must first add a mobile number in Fixxbook to receive new work order alerts for that client. You may add one or more local or international mobile numbers for each desired client.

For clients that you add a mobile number for new work order alerts, you will receive a notification in your mobile whenever a new work order is assigned to you. This message contains key details of the work order, including the trade, priority, due date/time, and location ID/address, as well as the unique code you need to include in your reply in order to accept or decline a work order.

Accepting/Declining a Work Order by Responding to a New Work Order SMS Alert

Each work order alert has a unique set of codes - one for accepting and one for declining the work order. Note that this set of codes is randomly generated and is different for each work order.

⦿ How to Accept a Non-Maintenance Work Order
  1. Reply to the SMS Alert with the appropriate code. For the example above, you will need to reply Ye5m8 to accept the work order.
    You will receive a reply confirming that you accepted the work order. The work order changes to In Progress/Dispatch Confirmed status.

Accepting Maintenance Work Orders


Planned Maintenance (PM) Work Orders are sent to your email as a bulk work order summary. So you cannot accept or decline them directly via email.

To accept/decline a PM work order, you need to manually change the work order status. The status change is carried out via adding a note. Click View Work Orders from the email to go to the Work Orders List.

The email attachment contains the details of the PM work orders dispatched to you. Follow the instructions in the email to import the .txt file to an .xlsx file.
