Creating and Navigating Linked Work Orders

There may be times when one work order is not sufficient to address an issue at a location. In cases like this additional work orders will have to created to completely address the issue. To make the review of multiple work orders easier, the Linked Work Order feature was added. Users, with the feature enabled, can link work orders making it easier to find all work orders that are linked. With the Link_Work_Order feature enabled, users can link either Classic Service Request or Dashboard Service Request.

There are two options for linking work orders, linking work orders after they have been created or linking subsequent work orders during creation.  Either way, viewing linked work orders that are linked is achieved by clicking the link icon on a work order that is linked to at least one work order. 

Viewing Linked Work Orders

To view work orders that have been linked click the Link icon. The linked work orders will appear in a pop up. 


⦿ How to Link a Work Order to Another Work Order During the Work Order Creation Process: Dashboard Service Request
  1.  Linked Dashboard Service Request Work Flow
    1. Locate  the work order that you want to link to.
    2. Click More then select Create Linked Dashboard Service Request.
      1. The New Service Request screen will open. 
    3. Review and if necessary adjust the entries in Area, Problem Type, Asset and Problem to fit the issue you are reporting, then click Next.

    4. Complete the work order as usual. 
    5. The newly created work order is linked to the original work order.

Managing Attachments for Linked Work Orders 

When linking work orders with attachments via the “new work order creation method”, users have the option, if enabled (speak to your ServiceChannel Representative for more information on this feature) to select which attachments migrate to the newly created, linked work order.  This is especially helpful when some of the attachments from the initial work order are sensitive in nature and or confidential.

⦿ How to Select Which Attachments are added to Linked Work Orders
  1. Navigate to the work order that you want to link to.

    The initial work order has 4 attachments.

  2. Click the More drop down menu and select Create Linked Dashboard Service Request.

  3. Complete the New Service Request, then click Next.

  4. On this screen, select which attachments are to be migrated to the linked work order.

    The initial work order has 4 attachments.

    However, only 2 attachments are selected to migrate to the linked work order.

  5. Once the selection has been made, click Submit Request.
  6. The new work order is created and only the selected attachments migrate to the newly created work order.



 

⦿ How to Link a Work Order to Another Work Order During the Work Order Creation Process: Classic Service Request


Linked Classic Service Request Work Flow

Locate  the work order that you want to link to.

Click More then select Create Linked Classic Service Request.

The Classic Service Request screen will open

Review and if necessary adjust the entries, then click Next.

Complete the work order creation process as usual. 

The newly created work order is linked to the original work order.

⦿ How to Link Existing Work Orders

Navigate to one of the work orders that you want to link, then click Edit Work Order.

Click the text entry box to the right of Linked Work Orders and a pick list will appear.

Check the box next to each work order that you want to link to.

As you check work orders, they will be added to the list.

Click Save to complete the process. 

Note:  In the example above, the 3 work orders that are being linked are linked to the originating work order. The 3 work orders are not linked to each other.

Users can now click on the link icon to view work orders that are linked to the current work order.


Users can also navigate to the linked work orders by clicking on one of the work order number links in the pop up.
