ServiceChannel Mobile lets you review invoices on the go and take action on them.

Viewing Invoices via ServiceChannel Mobile App

You can view all the invoices that providers submit to your company. It gives you high transparency along the invoice processing cycle, so you know which invoices are Open, Reviewed, Approved, placed On Hold, Rejected, or Paid.

Note

Please, contact your ServiceChannel representative should you need to change the decimal point (.) to decimal comma (,) on non-monetary amounts, such as: 

  • Hours and Duration 
  • Quantity Amounts 
  • Weight.

  1. Go to the ServiceChannel Mobile app > Invoices.
    The Invoices list appears.

Click the Invoices tab


Note

If you do not see the needed invoices, make sure you have the right permissions. 

Each user can view the list of invoices depending on:

showing brief information on each invoice to help you find the needed one.

  1. Invoice Amount. Shows the amount a provider requests from you for the completed work.

    Note

    Should you need to change the decimal point (.) to decimal comma (,) on monetary amounts, contact your ServiceChannel representative. 


  2. Invoice #. Shows a unique number entered by a provider when submitting an invoice.
  3. Provider Name. Reflects a name of a provider who has completed the work order.
  4. Trade and Category. Displays the Trade and Category of a completed work order connected to this invoice.
  5. Tracking #. When tapped, it brings you to the Work Order Details page connected to this invoice.
  6. Action Buttons. Allows you to take action on the invoice.
  7. Work Order Description. Displays brief information on a performed service.
  8. GL Code. When tapped, it allows you to edit the invoice’s approval code. Find additional information about Updating GL Сodes.
  9. Invoice Date. Reflects the date when an invoice has been submitted to you.
  10. Location ID and Name. Shows a brief description of the location.
  11. Invoice Status. Displays the invoice in the corresponding status — Open, Reviewed, Approved, Rejected, Paid, and On Hold.
  12.  Discrepancy icon. Shows that there is a mismatch between the agreed rates and the requested charges. Read more about Viewing Invoices with Mismatches and Reasons for Mismatch.

Viewing the Invoice Details Via Mobile App

Each invoice contains information about a completed work order related to this invoice, charges, and other invoice information.

title⦿ How to View the Invoice Details via SC Mobile
  1. Open the ServiceChannel Mobile app > Invoices.
    The Invoices List
    appears.
  2. On the Invoices List, tap the needed invoice to view its details. 

    The Invoice Details page reflects:

    • Brief information about the invoice and related work order. 
    • GL Code. When tapped, it edits the invoice approval code. Find additional information about Updating GL Codes.
    • The Details tab. Contains attachments added to the invoice and specified invoice information.
    • The Charges tab. Shows the amount of each requested charge and a provider's check-in/out timing.

      Note

      You may also see the Warningicon. Itindicatesthat there is a price mismatch. Tap the Charges tab to view where the price mismatch occurred.

  3. Navigate between the Details and Charges tabs to view the expanded invoice details.

On the Details tab, you can view:

  1. The Attachments section. Allows you to view files provided along with the invoice.
  2. The Invoice Information section. It reflects information about the invoice and related work order:
    • Work Order Description. Displays brief information on a performed service.
    • Tracking # (TN#). When tapped, it brings you to the Work Order Details page connected to this invoice.
    • Purchase Order #. Reflects the purchase order number connected to a work order.
    • The Date of Completion. Shows the date when a provider has completed the work order.
    • Called By. Shows the employee who requested a work order and the date it was requested.
    • Priority. Shows the work order priority.
    • Tracking Number. Shows the number given to the work order when being created.
    • NTE. Displays the not-to-exceed amount.
    • The Posted Date. Reflects the date when an invoice was submitted to you.
    • OPEN By. Displays the name of the person who created an invoice and the date of invoice creation.

On the Charges tab, you can view:

  • The Client Rates section. Shows agreed rates between you and your provider.

    Note

    Contact your ServiceChannel manager to view the agreed rates. 


  • The Check-in/out section. Shows when a technician checked in and out, and how much time they spent on work.

  • The Charges section. Displays the amount of money spent on each charge and the GL Code related to each charge. 
    The Charges section is divided into:
    • Labor charges
    • Travel charges
    • Materials charges
    • Freight charges 
    • Other charges
    • Tax

      Note

      You may also see the Warningicon next to the charges or check-in/out time. It shows a mismatch between the agreed work conditions with a provider and the actual time, tax, or charges.

      To enable the functionality of displaying the Rates Mismatch sign on your invoices and mismatch reasons, contact your ServiceChannel representative.
