Uploading Refrigerated Assets via Template

Whenever you need to create multiple refrigerated assets en masse, you can take advantage of the asset import template.

Before you upload assets, make sure you have the required asset types added to Asset Manager as well as refrigerant types loaded to Inventory Manager.

⦿ How to Create Refrigerated Assets via Template

Click the hamburger menu, and select Assets (Equipment) > Imported Assets.
Switch to the Upload Assets section.
Click Excel Template (All Attributes). An Excel file with attributes for all asset types gets downloaded to your device.
Find the required asset type, fill out the necessary fields, and save the file.
Click Select .xlxs File (With Custom Attributes), and open the required file. The system starts validating your file.
1. If errors are found, download the results file, and check the last column to correct the errors. When ready, resubmit the file.
2. If no errors are found, click Confirm Import.
Once the file is processed, you are redirected to the Imported Assets section.

Completing the Asset Import Template

What fields should be filled out in the template depends on the asset refrigerant usage type: Rack, Connected To a Rack, Self Contained Asset, or Conventional. To boot, it is also important to check what asset type attributes are marked as required on the asset type details page.

Here is the information you are expected to provide. Mandatory fields are marked with a red asterisk ✱.

✱ Asset Type	Asset type of the asset. To associate an asset with an asset type, you need to create an asset type first.
✱ Location	ID of the location where the asset is housed
Area (Physical/Serving)	Specific area where the asset is located, for example, Kitchen or Back of the House
Work Order Area	Additional asset info. The WO area doesn’t necessarily need to be the same as the area on the service request in order to associate an asset with a WO.
✱ Tag ID	Unique identification number (ID) of the asset
Brand	Brand of the asset
Model No.	Model number of the asset
Serial No.	Serial number of the asset
Install Date	Date when the asset was installed: MM/DD/YYYY
Is Leased	Enter True if you lease the equipment. Enter False if you own it.
Lease Date	Date when you started leasing the equipment: MM/DD/YYYY
Lease Period	Time period in months when the lease agreement is valid
Life Expectancy	Life expectancy of the asset in months
Original Value	Original price of the asset
Condition	Condition of the asset: Broken Poor Average Good Excellent
Purchase Date	Date when the asset was purchased: MM/DD/YYYY
✱ Refrigerant Usage Type	Your asset may belong to one of the following refrigerant usage types: Rack Connected To a Rack Self Contained Asset Conventional
Manufactured Date	Date when the asset was manufactured. The field is required if the asset is tracked by the CARB.
Warranty Category	Category of work orders when the asset is under warranty. Only fill in for equipment that is under warranty.
Warranty NTE	Not-to-exceed (NTE) amount of work orders when the asset is under warranty. Only fill in for equipment that is under warranty.
Warranty Period	Period in months when the asset is under warranty. Only fill in for equipment that is under warranty.
Warranty Priority	Priority of work orders when the asset is under warranty. Only fill in for equipment that is under warranty.
Warranty Provider	Provider responsible for warranty coverage. Only fill in for equipment that is under warranty. Enter one of the following: Primary Rank Fixed Rank - 1 (use the required rank number instead of “1”) Provider name as it appears in the ServiceChannel platform
Warranty Starts From Install Date	Enter True if the warranty starts from the asset install date. Only fill in for equipment that is under warranty. Otherwise, enter False.
Energy Efficiency	Energy efficiency percentage
Asset Tag	Decoded value contained in a barcode, QR code, or NFC tag that is applied to your assets.
✱ Rack id	Identification number of the rack. The field is required only for assets where the Refrigerant Usage Type of the asset type is Rack or Connected To a Rack. When you connect a refrigerated asset to a rack, enter the tag ID of the rack asset in the Rack id field. Don’t enter the rack ID.
✱ Rack Type	Temperature range of the rack. The field is required only for assets where the Refrigerant Usage Type of the asset type is Rack or Connected To a Rack. One of the following types should be entered: High Low Medium Dual Temp
Capacity	Maximum amount of the refrigerant the asset can contain
✱ Refrigerant Type	Name of the refrigerant type that your asset uses. The field is required for assets where the Refrigerant Usage Type is Rack and Self Contained Asset. The refrigerants used by your assets must be added to Inventory Manager before you create refrigerated assets.
✱ Operation Status	Operational status of the asset. Enter one of the available options: Inactive Mothballed Normal Operation Provisional Operation Remove Retrofit In Progress Seasonal - Non-Operation Seasonal - Operation Shutdown Under Repair The field is required for assets where the Refrigerant Usage Type is Rack and Self Contained Asset.
✱ Total Charge	The current amount of refrigerant gases contained in the asset. The field is required for assets where the Refrigerant Usage Type is Rack, Self Contained Asset, and Conventional.
✱ Vendor	Name of the provider who identified the total charge of the system. Enter the name as it appears across the ServiceChannel platform. If the required provider isn’t in the SC platform, you can manually enter the required company name. The field is required for assets where the Refrigerant Usage Type is Rack and Self Contained Asset.
✱ Effective Date	The date when the initial charge was done: MM/DD/YYYY. The field is required for assets where the Refrigerant Usage Type is Rack, Self Contained Asset, and Conventional.
✱ Description	Description of how the initial charge was taken. Possible options: Calculation Established Manufacturer Tag Measurement MFG Info (Established Range) Onsite Documentation Approximate The field is required for assets where the Refrigerant Usage Type is Rack, Self Contained Asset, and Conventional.
✱ Has Leak Detector	Enter True if your asset has a leak detector installed. Enter False if the asset has no leak detector.
Is tracked by CARB	Enter True if your refrigerated or HVAC asset contains ozone depleting gases and meets the requirements to be tracked by the California Air Resources Board (CARB). The asset manufactured date needs to be specified in this case. Enter False if your asset doesn’t contain that much of refrigerant and isn’t tracked by the CARB.
✱ Deactivated	Enter True if the asset is no longer used, or you want to deactivate previously active equipment. Enter False if the asset is active.
✱ Has Components	Enter True if your asset consists of various smaller parts. Enter False if the asset acts as a single whole.
✱ Has Circuits	Enter True if the asset has circuits. Enter False if there are no circuits.
