Using Track WO/PO to Search for Work Orders

The Track Work Orders & Purchase Orders (or Track WO/PO) page allows you to search for work orders. You can use Track WO/PO to find work orders to

  • view and update work order details and statuses,

  • add notes and attachments to work orders,

  • request to reschedule a date/time to work on work order issues, and

  • create proposals and invoices.

⦿ How to Access Track WO/PO
  1. In the top-left corner, click the menu icon  and select Track WO/PO. The Track Work Orders & Purchase Orders page appears.

From here, you can search for either individual work orders or all work orders for a Location ID.

"Search by" Individual Work Orders

You can search for either a singular work order or a batch of work orders using one of the following criteria.

  • Tracking #: Provider Automation automatically assigns a unique number for each generated work order. This field uses the Exact search criteria.

  • Work Order #: Clients may elect to use a custom Work Order number, in line with their business practices. This field uses the Starting With search criteria.

  • Purchase Order #: Clients may elect to use a custom Purchase Order number, in line with business practices. This field uses the Starting With search criteria.

  • Closing Authorization #: This number is generated when a technician checks out of a work order for the last time using the telephone IVR System. This field uses the Exact search criteria.

  • Service ID: A static number on maintenance work orders used to check in and check out of work orders through either the telephone IVR System or ServiceChannel Provider Mobile App. This field uses the Exact search criteria.

⦿ How to Search for a Work Order
  1. Select the desired criteria under the Search by column.

    The Tracking # option is selected by default.

  2. Enter the appropriate number(s) in the text area.

    • (Manually entering numbers) Type each number into the text field. For multiple numbers, separate each one by either a comma (,) or semicolon (;).

    • (Copying and pasting from a spreadsheet) Copy a row or column from an Excel or CSV file, and then paste in the text area.

  3. Click Find. The Work Order List appears listing the work order(s) matching your criteria.

Search Criteria

You can find work orders by using either an Exact search term or a Starting With search term.

  • Exact search: Certain search criteria, such as Tracking numbers or Location IDs, are searchable only by their full, precise number. You cannot use a partial term to search for records using an Exact search.

    • For example: When searching for Tracking # 12345678, you can only use “12345678” to search. Partial terms, such as “123” or “12345,” will not pull up the desired records.

  • Starting With search: The beginning of the term used to search must match the beginning of the desired record.

    • For example: When searching for all work orders with Purchase Order numbers between PO-180 through PO-189, using a search term beginning with “PO-18” will pull up all work orders with PO numbers between PO-180 through PO-189, as well as all other work orders fitting that criteria (say, “PO-1887”).

      You cannot search using wildcards such as asterisks (*) (for example, “123*”).

Searching for All Work Orders by Location

You may search for all work orders from a specific Location generated within the past 90 days. The Location ID field uses the Exact Search criteria; you can only search for one Location ID at a time.

To search for work orders across multiple locations, or to search for work orders generated beyond 90 days, use the Work Order List.

⦿ How to Search for All Work Orders by Location ID
  1. Under the Find All Work Orders for Location ID column, enter the desired Location ID.
  2. (Optional) Uncheck the Exclude Maintenance box to include maintenance work orders in your search. See Exclude Maintenance, below.

  3. Click Find. The Work Order List appears with all work orders for that location generated in the past 90 days.

Exclude Maintenance

While searching for work orders using the Location ID, only non-maintenance work orders will typically appear. Should you need to also view maintenance work orders, uncheck Exclude Maintenance.

The Exclude Maintenance checkbox only refers to work orders created by clients through the Planned Maintenance module. Client-created categories with term "maintenance" in the title are not affected by this feature.
