You can search for either a singular work order or a batch of work orders using one of the following criteria.
Tracking #: Provider Automation automatically assigns a unique number for each generated work order. This field uses theExact Searchcriteria.
Work Order #:Clients may elect to use a custom Work Order number, in line with their business practices. This field uses theStarting with searchcriteria.
Purchase Order #: Clients may elect to use a custom Purchase Order number, in line with business practices. This field uses theStarting withsearchcriteria.
Closing Authorization #: This number is generated when a technician checks out of a work order for the last time using the telephone IVR System. This field uses the Exact Search criteria.
Service ID:A static number on maintenance work orders used to check in and check out of work orders through either the telephone IVR System or ServiceChannel Provider mobile app. This field uses theExact Searchcriteria.
⦿ How to Search for a Work Order
In the upper-left corner of the Home page, select the desired search criterion in the drop-down list.
The Tracking # option is selected by default.
Enter the appropriate number(s) in the text area.
(Manually entering numbers)Type each number into the text field. For multiple numbers, separate each one by either a comma (,) or semicolon (;).
(Copying and pasting from a spreadsheet)Copy a row or column from an Excel or CSV file, and then paste in the text area.
ClickSearch. The Work Orders List appears listing the work order(s) matching your criterion.
Search Criteria
You can find work orders by using either anExactSearch term or aStarting withsearch term.
Exact Search: Certain search criteria, such as Tracking numbers or Location IDs, are searchable only by their full, precise number. You cannot use a partial term to search for records using the Exact Search.
For example, when searching for Tracking # 12345678, you can only use “12345678” to search. Partial terms, such as “123” or “12345,” will not pull up the desired records.
Starting with search: The beginning of the term used to search must match thebeginningof the desired record.
For example, when searching for all work orders with Purchase Order numbers between PO-180 through PO-189, using a search term beginning with “PO-18” will pull up all work orders with PO numbers between PO-180 through PO-189, as well as all other work orders fitting that criterion (say, “PO-1887”).
You cannot search using wildcards such as asterisks (*) (for example, “123*”).
Searching for All Work Orders by Location
You may search for all work orders from a specific Location generated within the past 90 days. TheLocation IDfield uses theExact Searchcriterion; you can only search by one Location ID at a time.
To search for work orders across multiple locations, or to search for work orders generated beyond 90 days, use filters on the Work Order List.
⦿ How to Search for All Work Orders by Location ID
In the upper-left corner of the Home page, select Location ID - 90 Days in the drop-down list.
(Optional)Select the Exclude Maintenance checkbox to exclude maintenance work orders from your search. SeeExclude Maintenance, below.
ClickSearch. TheWork Order List appears with all work orders for that location generated in the past 90 days.
Exclude Maintenance
When you search for work orders using the Location ID, maintenance work orders will appear in search results. To exclude them from your search, select the Exclude Maintenance checkbox.
The Exclude Maintenance checkbox only refers to work orders created by clients through the Planned Maintenance module. Client-created categories with term "maintenance" in the title are not affected by this feature.
