At anytime, a project can be modified for whatever reason. Inside a project, modifying can take place. The Actions button located inside a project on the upper right hand side provides the options to modify. This feature is used when a project is going through a circumstance that requires an immediate action. In most cases, the only time the Actions button would be used is when a project lifecycle is ready to mark as completed. Besides marking a project as Completed, a project can be edited where information for that project can be changed. Only location for a project cannot be changed once it has been submitted. A project can be deleted from Projects Module along with the ability to create a template.

Modifying a Project allows for changes to be made. This can be done while a project is in its current Project Lifecycle. Modifying projects gives you the ability to maintains accurate information to ensure service provider work is done correctly while avoiding any mishaps. You can edit, cancel, re-open, or delete a project.

Editing a Project

Any project can be edited. Editing a project means having to edit the original information when creating a project. There could be changes to a project that may not been foreseen and therefore edits are required. For example, when editing a project, you may decide that Project Manager and Project Type needs editing. Only Location ID on a project cannot be edited.  Any edits will be seen in History as it is part of the project's history

  1. In a project, click the Actions button to open the modal.

  2. Click the Edit link to edit the information on the project.

  3. When edits are finalized, the click the Edit Project button for the changes to appear. 

    Note

    Cancel button returns you back to the project without any edits saved.

Canceling a Project

At any point during the project lifecycle, you can cancel a project. Canceling a project stops the lifecycle from moving forward and shows the status on the projects tab. There can be multiple reasons for canceling a project such as having to assess the length of time needed for the completion of a project or is it the right time to continue pursuing a project. This gives you the opportunity to review what is needed before making a final decision about a project.

When a project is in Canceled Status, tasks already added to a project prior to cancellation are still active and can be invoiced. You will not be able to add any new task once a project is canceled. A project that has a budget will not be impacted by the cancellation. A project can remain in canceled status until it is reopened, marked as completed, or deleted.

Tip

You can remove the budget from a project before cancelling.

Re-opening a Project

You can reopen a project that is in canceled status. When you reopen a project, it reverts back to the specific lifecycle before cancellation. For example, before a project was placed into canceled status, the approval cycle was its current status. Once that canceled project is re-opened, it goes back to the approval cycle.

Deleting a Project 

You can delete a project from the Projects Module. Deleting means there will be no record of the project. For instance, there are duplicate projects for a single location, you can delete the extra project. When a project with tasks is deleted during the scoping process, Service Providers are not impacted because those tasks were not issued out.  Deleting a project in the In Progress status can be done. The project is deleted but any tasks associated with the project is not deleted and remains in Service Automation with the Project ID and Work Order Number. A project cannot be deleted in Completed status.

  3. Click the Delete button to confirm the project should be deleted. The project no longer appears on the Projects Tab.

    You can disassociate the budget by editing the project and making the project unbudgeted before deleting a project.
