Regular analysis of your service providers’ compliance helps you reduce risks related to your service provider network. From the Compliance Summary page, you can view service providers' compliance with requirements, send notifications to service providers, and download compliance information. In addition, you can manage providers and review their profiles.

Viewing Providers’ Compliance with Requirements

The Compliance Summary tab displays the compliance of both your in-network and invited service providers. The overall compliance percentage is indicated right under the tab.

The overall compliance percentage depends on the filters that you apply on the Compliance Summary page.

In the left column is the list of your providers and their compliance percentage.

To the right of the providers list, you see the requirements, for example, Client Contacts, Certificates of Insurance, Trades, etc. The counter atop of each requirement shows how many providers do not comply with it.

The symbols under the column headers indicate whether a provider complies with the specific requirement.

The Compliance Summary page has several filters that help you review compliance information as desired. You may apply the filters one at a time or use a combination of them.

  • Only Show Contractors Being Invited. Allows you to view the compliance of providers who have been invited and are currently going through the on-boarding process for joining your private network, but are yet to be accepted.
  • Only Show Contractors in My Network. Displays the compliance information on active service providers in your private network.
  • Only Show Primary Ranked Contractors. Shows the compliance of primary ranked providers for all trades and locations.
  • Filter by Trade. Allows you to quickly filter providers based on the trade they serve. Select the desired trade from the drop-down list, or enter it.
  • Search for a Contractor. Permits you to quickly find a particular provider by their company name. Enter the full or partial company name into the search field, and press Enter.

The buttons above the providers list allow you to view the compliance summary of all, compliant, or non-compliant providers. Click one of these buttons to filter your providers as needed.

  • Contractors #. Shows the compliance information on all providers — both compliant and non-compliant with your requirements. Click this button to reset the % Compliant # or % Non-Compliant # filters if applied to the list.
  • % Compliant #. Displays the compliance summary of all compliant providers. The percentage and number of providers who are 100% compliant with all your requirements appear right on the button.
  • % Non-Compliant #. Displays the compliance summary of all non-compliant providers. The percentage and number of service providers who are not compliant with your requirements appear on the button.

The counters and percentage located on these three buttons depend on filters that you apply.

Sorting the Providers List

For easy review of provider compliance, you can sort the providers list by the following criteria:

  • Company name. By default, your providers are listed in alphabetical order. Click Contractors to arrange the list in reverse order.
  • Compliance percentage. Click Compliance % to arrange the list by providers with the highest levels of compliance at the top. Hit Compliance % again to reverse the sort order.
  • Requirement. Click the requirement name, for example, Client Contacts, to view non-compliant service providers for that requirement at the top of the list. Clicking the column header again displays compliant providers at the top.

Displaying Requirements in Compliance Summary

On the Compliance Summary page, you can view the compliance status for both standard and mandatory custom requirements. You can also select the specific requirements that you want to be displayed to the right of the contractors listThe dynamic Compliance Table represents the requirements you configure to align with your needs. Therefore, you get high visibility into providers who comply with your rules and who do not.

General Table SignsMeaning

The Cross icon Image Added

The icon shows that a provider does not meet the requirement in the table.

The Check Mark icon Image Added

The icon shows that a provider satisfies the requirement in the table.

The Do Not Dispatch icon Image Added

The icon shows that a certain provider is in the Do Not Dispatch list.


Hover over the icon to see the date since which a provider has been flagged as Do Not Dispatch, the last communication date, and the reason for it.

Percentage of compliance Image Added

The percentage of compliance shows how close your provider is to full compliance.

If the provider is:

  • 100% compliant, you will see the % in green.
  • > 50% compliant, you will see the % in the usual text color.
< 50% compliant, you will see the % in red.

Labels

The Labels are displayed:

  • As the label name and cross icon. 
  • As a hyperlink label if there are more labels than one applied to the provider.
    Hover over the hyperlink label to view all labels.

    Note

    Should you need to remove the label, click the Cross icon Image Added next to the label name.


Insurance Requirements Values

Displays values based on the status of the provider’s insurance document.

Configuring the Columns of the Compliance Table

You can control what columns should display in the Compliance Table by clicking the Column Selector underneath the Actions button.

General Requirements

General Requirements are set by default and display a range of fundamental requirements you may need in the table. Such as:

  • Compliance %
  • Do Not Dispatch
  • Do Not Dispatch Date
  • Insurance Summary

Basic Requirements

Basic Requirements represent the requirements that you need to manage your service providers. These requirements are suggested by ServiceChannel:

  • Banking
  • Client Contracts
  • Client Rates
  • Dispatch Preferences
  • Tax ID
  • Trade Licenses 
  • Trades
Insurance Requirements

Insurance Requirements display the insurance types you can request from your provider:

  • Automobile Liability
  • Commercial General Liability
  • Umbrella Liability / Excess Liability
  • Workers Compensation And Employers' Liability
Custom RequirementsServiceChannel provides you with the possibility to add your own requirements to providers. Custom Requirements will contain the requirements set by you.

  • On the Compliance Summary page, click the arrow head next to Column Selector # of #.

  • Select the checkboxes next to the desired requirements. To display all the requirements, select the All Columns checkbox. The page refreshes, and the compliance information for the selected requirements appears.

    You can drag the requirements up or down to set the order in which you want them to appear on the Compliance Summary page.

    To reduce possible risks or losses due to non-compliance of your providers, you can remind them about complying with requirements by sending out email notifications straight from the Compliance Summary page.

  • On the Compliance Summary page, select the box next to the desired service providers’ names, or check the box next to Contractors to select all service providers.
  • In the bottom-left corner of the page, click Send Notification to # Contractors. The Send Notification overlay opens with a prefilled body of your email message.

  • Click {{{requirements}}} to add a placeholder of specific requirements that each service provider has to comply with.
  • Edit the message as needed.
  • (Optional) Add a link, picture, and Excel or Word doc to your email notification by selecting one of the options from the toolbar.

    You can attach files in the following formats: XLS, XLSX, DOC, and DOCX. The total size of attached files should not exceed 5 Mb.

  • Click Send. The Send Notification dialog box appears.
  • To confirm your action, click Send. You get the report on how many notifications have been processed and how many have failed.

  • (Optional) To view the notifications delivery status, click Details.
  • Click Close.

    In case you want to add service provider compliance information to other systems or share this data with other employees, you can download the compliance report.

    title⦿ How to Export Compliance Report
    1. On the Compliance Summary page, check the boxes next to the desired service providers’ names. To select all service providers, check the box next to Contractors.
    2. In the bottom-left corner, click Export # Contractors. The Excel file with the compliance information on the selected providers is downloaded to your device.

    The exported report contains the provider name, ID, and compliance percentage as well as the compliance information for each activated requirement.

    Managing a Service Provider from Compliance Summary

    In addition to viewing compliance information of your service providers from the Compliance Summary page, you can also review their profiles by clicking the provider name on the providers list.

    From a service provider’s profile, you can manage the provider. For example, you can send reminders about incomplete sections in their profile, review the provider financial information, remove the provider from your private network, and more
    Configure the Columns of the Compliance Table
    1. Go to ServiceChannel.com  > Hamburger Menu > Compliance Manager. The Compliance Overview page appears.
    2. Under the Actions button, click the Column Selector. When you navigate to the Compliance Table for the first time, the following columns are selected by default:
      • Labels
      • Compliance %
      • Insurance Summary
      • Do Not Dispatch
      • All columns under “Basic Requirements”
      • All columns under “Custom Requirements”
    3. Select the necessary Checkboxes next to the requirements you need to add to the Compliance Table:
      • General Requirements
      • Basic Requirements
      • Insurance Requirements
      • Custom Requirements
    4. Click Display. The Compliance Table will show you the columns consisting of the selected requirements.

    If more columns are selected to display in the table than can be displayed in the screen width, scroll the table to the right side to view the rest of the columns.

    Managing the Compliance Table View

    The Compliance Table is dynamic, which means that you can configure its view the way you need. 

    Here is the list of available table views:

    1. Column Reordering. You can click, hold & drag column headers to reorder columns.

      Note

      The provider name cannot be reordered so that it stays visible in the table even when side-scrolling.


    2. Providers Sorting. You can sort the Providers’ List by any column (except Labels) by clicking the column header.

    3. Pagination:
      1. You can choose to view 20, 40, or 60 results per page (the default is 20) on the bottom left of the table.
      2. You can navigate the pages using the page selector on the bottom center of the table.
      3. The number of results that you are viewing on the current page is shown on the bottom right of the table, along with the total number of results returned based on the combination of applied filters.
