Where Should I Go to Add a Note/Attachment?

You can add notes and attachments to a work order either from the work order list view or the detailed view.

Under the Notes tab on the work order details screen, you can: 

  • View and create communications between your team and/or the provider.
  • View automatically generated system notes, such as when a work order gets reassigned or moved to a different status.

For each work order note, you can find the following information:

  • A number next to the blue envelope that indicates the number of people who were sent an email notification of that particular note.
  • Photos attached to the work order if any.
  • Whether the note was marked with the Action Required flag.

Only add photos and notes related to your work order. Your facilities team as well as all internal and external service providers will see the photos and notes you attach.

Adding a Note

⦿ How to Add a Note
  1. On the desired work order, tap Add Note. The Add Note To <tracking number> modal appears.Adding a note to a work order from the list view
  2. Enter a comment in the text field.
  3. (Optional) Turn on the Action Required? toggle if immediate action is required. Once the note is posted, the red Action Required flag will appear on the work order note prompting the recipient of the note to take further action.
  4. (Optional) Tap Add Attachment to post a file together with the note. Select the file type you want to attach.

  5. Tap Proceed. The Assign Recipients screen appears. By default, the internal technicians who are assigned the work order are selected.Selecting recipients of the new work order note
  6. (Optional) Tap the desired recipient(s) to send an email notification, and/or tap Add Email + to include a recipient that is not on the list.

    Only users with an email address listed in their user permissions will appear in this list.

  7. Tap Send.

After you have posted a work order note, the following changes take place:






The note appears on the work order details screen > Notes tab.

Tapping the blue envelope icon displays email addresses of the WO note recipients






An email notification is sent to the selected recipient(s). You can tap the blue envelope icon to view the list of emails the work order notification was sent.











(When the Action Required toggle is turned on) The Action Required flag appears on the note.

Adding an Attachment

Photos and videos are added to work orders as supporting evidence. You can add them either while you are creating the work order, or after the work order is dispatched (as additional notes).

⦿ How to Add an Attachment
  1. On the desired work order, tap More > Attach Media. Your mobile device’s photo options appear.

  2. Once a photo is either captured or taken from your device’s library, the work order uploads the photo as an attachment. You can view the attachment under the Notes tab on the work order details screen.
