The process of setting up Invoice Rates Validation requires collaboration, in that, the client must reach out to the service providers in their private network and request that they submit Client Rates that are presented as a rate card for you and your provider ensure that you have agreed labor rates for different districts and a review of all discrepancies between the agreed and actual prices.  

With client rates, you will not have to manually compare the average regional prices for labor work and markup % for material items with the actual input of your providers. Thus, if you have many locations throughout the country, having a rate card is the one best solution to choose.  


Tip

When you need to fix material and fee prices, and markup% for a certain location and provider, it is better to use a negotiated price list. 

It allows you and your provider to select items from the pre-negotiated list of material items and fees with fixed price while completing a proposal or a line item invoice 

Moreover, you will be able to view mismatches and reasons for them on the Invoice Details pages.

The combination of client rates and negotiated price lists will provide financial transparency in your budgets and prevent overcharging and incorrect billing 

Setting up Invoiced Rates Validation requires collaboration between you and your providers. 

  • You should request providers from your network to propose rates for the services they provide.
In turn, clients will review the submitted rates and then either approve or reject them.

  • Providers would then set up rates for the services they provide for you and submit them for review. You can approve or reject the proposed rates. 

Once the rates have been approved, Invoice Invoiced Rates Validation becomes active from the date agreed upon in the rates proposal.  

When subsequent invoices are submitted rates proposal, any labor rates below or above the agreed upon rates appear with a flag indicating which labor rates do not match the agreed upon rates.  


Tip

If you enable the auto-approval, any invoice with labor rates that do not match the agreed upon rates will be rejected — even if the invoice total is below the NTE amount. This feature provides an additional layer of transparency by preventing invoices with incorrect labor rates from being processed automatically.

Requesting Service Rates from Providers

To get started, you need to request service rates from your providers.

title⦿ How to Request Service Rates from Service Providers
  1. Select which service providers will receive the email.
  2. Launch Compliance Manager
  3. Select the Contractors Tab

  5. On this screen, you will select the service In the hamburger menu, click Compliance (Private Network).
  6. In Compliance Manager, hover over Contractors, and then click Contractors.

On the page listing your active contractors, select providers who will receive an email requesting that they submit rates for the services they provide:You . You can send a request to all service providers by checking “Apply to all”.Orselecting the Apply to All checkbox. Or, you can select the service providers individually, by checking the box pick specific providers by selecting the checkbox next to the company name.

  8. Next, from From the Actions for selected contractors, Selected Contractors drop-down menulist, select “Send custom message”

  9. In the pop-up screenoverlay that appears, compose your a message to your service the selected providers, then click Ok OK.

Viewing Proposed Rates

Once providers have submitted their service rates, you can either approve or reject them.

  • To review the submitted rates, launch Compliance Manger and select the Contractors tab, then select the Contractors link.

  • Next, click The rates go into effect on the “ As of” date, not the date that they are approved.   Navigate to the Clients tab.

  • Under Clients, click Client Rates.

    On the open page, you can see your Current rate card or a New Proposed rate card from the provider.

    It also shows:

    1. The Rate Card Status that changes depending on the actions taken.
      For example, if the card is active, it has the Current status; if you received a new rate card from the Provider, you will see the Not Reviewed status.
    2. Effective as of Date is filled in with the date that you want this rate to come into effect. The rate card will be active no earlier than tomorrow. 
    3. Trades show the rate types for each of them. You can see the details by expanding trades.
    4. Rate Type has the list of rates. You can see the details about each of them by clicking on it.
    5. The History tab shows who of your employees has taken action on the card and when the action was taken.

    View Clients Rates
    1. In the hamburger menu, click Compliance (Private Network).
    2. In Compliance Manager, hover over Contractors, and then click Contractors.
