The NTE Optimization Report is designed to help you optimize the not-to-exceed amounts (or NTEs) configured to your trades. It also helps you understand the effectiveness of these NTEs from both an operational and a financial standpoint.

⦿ How to access the NTE Optimization Report

From Service Automation:

  1. Click the menu icon , and then select Analytics (ProView).

  2. On the upper-right of the page, click Click here to view more reports...

  3. On the upper-left of the page, click the dashboards list down arrow and select NTE Optimization.

From other Analytics dashboards:

  1. On the upper-left of the page, click the dashboards list down arrow and select NTE Optimization.

NTE Optimization Sections

NTE Optimization accounts for all of the relevant trades used to compile the metrics. This report is comprised of 2 parts:

  • Headline Metrics that illustrate essential statistics to help you analyze your NTEs
  • NTE Optimization data table broken down by Trade

You can use the global filters to hone in on key data.

NTE Headline Metrics

The key data in the headline metrics are as follows:

  • % of Invoices within 95% of NTE: Key metric in that, ideally speaking, you want this percentage to be as high as possible being that should your invoice amounts be within 95%, you are operating in a comfortable range in respect to your NTE.
  • % of Invoices where Invoice Amount = NTE: Also a key metric in that should an invoice amount equal a NTE amount, your company is operating within its budget constraints without any room of margain.
  • % of WO where NTE increased: A percentage FMs want to keep as low as possible as an increase in NTE indicates that your company is not operating within its budget, and thus has to spend more dollars than originally planned.
  • % of WO where NTE changed: The difference between this percentage and the one regarding WO increasing represents the percentage of WOs who actually decrease the NTE. While this percentage as a whole includes WOs who increased the NTE, the difference is a positive percentage in that it signifies that certain WOs staying beneath the NTE and therefore saved your company dollars in other trades.
  • Proposal to Work Order %: Denotes the proposals per WO ratio.

NTE Optimization Table

This report looks at each trade relevant to your company’s operations, and looks deeper into various dollar amounts and percent changes in regards to NTE.

The following data is listed in the report, sortable by these column headers:

  • Trade: 

    You can click the Trade to drill down into the list of associated work orders.

  • Average Invoice Amount: Represent the average dollars spent per invoice for all invoiced WOs within a trade
  • Original NTE: The original NTE, or maximum your company can spend, given to each trade
  • Average NTE Amount: The actual NTE amount (on average) that is calculated amongst all invoiced WOs
  • % Time NTE Increased: How many of the total invoiced WOs exceeded the NTE amount per trade
  • Inv. Amt. = Current NTE (%): The percentage of invoice amounts that were equal to that of the NTE
  • Inv. Amt. within 95% of NTE (%): The percentage of invoices that lie within 95% of your NTE
  • # of Workorders: Total number of WOs completed within a trade

You can download this report onto your local drive for sharing, viewing, and further data manipulation.

Report Filters and Sorting

On the top of the page are global filters to help you hone in on key information. Note that all reports on the page are affected by these global filters.

You can filter this report by the following criteria:

  1. Word Order Call Date
  2. Category
  3. Priority
  4. Provider Name

Once you have your filters set, you can save the filter view so you can easily access the data. You can save multiple filter views, as needed. After setting your filters, click *Unsaved View on the top-right of the page, and then Save current view...

You can also schedule the report to email to your inbox, print a PDF version of the full report, and export the full report to MS Excel. See Analytics Settings for more information.

Sorting Your Data

  • Click the up arrow next to the headers to sort columns from lowest to highest / A - Z / earliest to latest. Click it again to return to the default sorting.

  • Click the down arrow to sort from highest to lowest / Z - A / latest to earliest. Click it again to return to the default sorting.

Downloading Reports

You can either download individual reports or download all reports into one file. Your reports will download with the criteria set in the global filters.

Downloading Individual Reports

When hovering your mouse over the data table, an iconappears next to the table name. Click the icon to choose which format to download your report.

The section title and the table title may have the same name. The table title is smaller and directly above the table.

⦿ How to download an individual report
  1. On the desired table, mouseover the table title. The download iconappears.

  2. Click the icon, and then select Download As...

  3. Choose the desired format (PDF, Microsoft Excel XLSX, CSV-formatted, or CSV-raw data).

    When downloading tables to PDF, PDF (Landscape) is the recommended option.

  4. When prompted, save the report to your drive.

Downloading All Reports Into One File

You can download all the reports listed in this dashboard.

⦿ How to download all reports
  1. On the top-right of the screen, click the gear icon.

  2. Choose the desired format:

    1. Export to PDF saves the current page view as a PDF file. Only the data immediately listed on the page will appear in the PDF export.

    2. Export to XLSX saves all data in a Microsoft Excel XLSX spreadsheet. Each table is saved on a different Excel tab.

  3. When prompted, save the report to your drive.
