When one or more of your clients use Payment Manager for invoice payments, in the Verification for Payment page in the Financial info section of your ServiceChannel account, you will need to:

  • Fill out the W-9, company information and banking pages in Fixxbook
  • Enter business owner information and view the verification status
  • Upload any additional documents that are required for completing verification

How to Add Information Required for Payment Verification

  1. Click 'Begin Verification" button, you will be taken to Adyen verification page. 
  2. On Adyen verification page, click Get Started to start adding information required for Payment Verification.

   3. The rest of the information required for verification needs to be added as indicated below:

  • Company details, through the Directory Profile (Note that, for verification purposes, the phone number should start with the country code in the Business Details section of your Directory Profile: for example, a US phone number will have to be entered as +19175551212.)
  • Banking account, through the Clients tab

Adding a Business Owner

Entering business owner information is required for your bank account to be verified. All individuals who own 25% or more business ownership must be listed as owners. Should there be no individual who has 25% or more ownership, you must provide the name of an individual with Financial Authority for your company.

In addition, should the bank account holder be different from the business owner(s), you should also list the name of the bank account holder as a business owner for verification.

title⦿ How to Add a Business Owner
Warning

You will be able to add business owner information only after you enter banking information. See Managing Banking for information on adding/updating banking information.

  1. When logged in to Service Automation, click the menu icon in the top-left and select Administration > Financial Information. W-9 Form appears.
  2. Click Verification for Payment in the left navigation menu. The Verification for Payment page appears.
  3. In the Business Owners section, click the Add Owner or Add Additional Owner button. The Business owner info pop-up appears.
  4. Enter the following information:
    • First Name
    • Last Name
    • Date of Birth
    • ID Number (SSN)
    • Address, including street address, city, country, state/province, zip code, and phone number
    • Email
  5. Click Save. The Verification for Payment screen appears, with the newly added owner name in the Business Owners list, with the status indicating that verification is in progress. Note that in some instances, you may be required to upload additional documents; in such an instance, a message will display next to the owner information that is being verified.

Adding Banking Details

Bank account information is automatically pulled from the bank information you enter in the Clients tab of your Directory Profile. See Managing Banking for information on how to add or update your banking account.

Once you upload the required document, verification resumes and will usually be complete in 5 business days.

title⦿ How to Add a Supporting Document
  1. On the Verification for Payment page, Click Bank Details, click the Upload button next to the owner/bank detail for which document is required. The Upload <Document Name> Information Bank Document button The Upload Bank Document pop-up appears.

2. Upload the listed items: for example, when an ID is required, you may need to upload images of the front and back sides of either your passport or driver’s license.

  • Enter description for the uploaded documents in the comment box.
  • Click Upload for Verification. The document is uploaded, and the status of verification displays in the corresponding section and at the top of the page. The uploaded document lists in the Supporting Docs - Upload History section in the bottom of the page

    Adding a Beneficial Owner

    Entering business owner information is required for your bank account to be verified. All individuals who own 25% or more business ownership must be listed as owners.     Editing Owner or Banking Information

    Should you remove any owner information, your verification checks may be re-initiated. You will be able to receive invoice payments again only after the verification is complete.

    title⦿ How to Edit Owner Information
    1. On the Ayden Verification for Payment page, click the Edit button Add Details next to the owner information UBO you want to edit. The Business owner info pop-up appears Personal Details page appears.
    2. Modify the desired fields, and click SaveSubmit. The updated information will be sent for verification, and the verification status displays on the Verification for Payment page at the top and the Business Owner section.

    title⦿ How to Remove Owner Information
    1. On the Verification for Payment page, click the Remove button next to the owner information you want to edit. The Remove Business Owner dialog appears.
    2. Click Confirm. The selected business owner is removed from the list of business owners in the Verification for Payment page.
