Assigning Work Orders to Technicians

You can manually assign work orders to your technicians, reassign work orders to other technicians, and unassign technicians from work order.

You can also automatically assign work orders to technicians based on locations, trades, and shifts and forward work orders to other technicians during vacation breaks or extended leave. 


Manually Assigning a Work Order from the Employees Tab

You can assign a work order to either one or many technicians. The assigned technician(s) appear on the work order, where both you and your client can see the work order assignment.

You can either select a technician from the Employees tab to assign work order to one or many technicians, or you can view all work orders and select technicians from there.

⦿ How to Assign a Work Order to One Technician
  1. Under the Employees tab, locate the desired technician and then click Assign WO. The Assign WO to <technician> modal appears.
  2. Enter the Tracking Number of the desired work order.

  3. Click Assign.
    1. The Assign WO button updates with the number of work orders assigned. You can then view all work orders assigned to that technician.
    2. An email is sent to the technician via the email listed in Provider Automation.
    3. The technician can view and manage the work order through ServiceChannel Provider Mobile.
⦿ How to Assign a Work Order to Multiple Technicians
  1. Click Assign WO next to one of the desired technicians. The Assign WO to <technician> modal appears.
  2. Enter the tracking number of the desired work order.
  3. Click Add People. The modal expands, listing all of your technicians.

  4. Click the plus (+) icon next to each desired technician, or click Assign to All to select all technicians.

  5. Click Assign.
    1. The Assign WO button updates with the number of work orders assigned. You can then view all work orders assigned to that technician.
    2. An email is sent to the technician via the email listed in Provider Automation.
    3. The technician can view and manage the work order through ServiceChannel Provider Mobile.

Using the Unassigned/Assigned View Area to Assign a Work Order

⦿ How to Assign Work Orders from the Unassigned/Assigned View
  1. Expand the WOs: Unassigned / Assigned view area located in the upper-left corner.

  2. Under the (x)Unassigned WOs section, click Assign WO. The Assign WO # (x) modal appears.
  3. Click Select Employees/SubContractors to view the list of technicians or companies to assign.

  4. Check the box(es) next to the technician(s) you wish to assign.

  5. To the right, click the black arrow  to close the dropdown options, and then click Assign underneath. The work order is assigned, as confirmed on the screen. The work order appears under the (x) Assigned WOs section.

Reassigning Work Orders to Other Technicians

At any time, you can reassign a work order to another technician by using the Unassigned / Assigned view area.

⦿ How to Reassign Work Orders to another Technician
  1. Expand the WOs: Unassigned / Assigned section located in the upper-left corner.
  2. Under the (x)Assigned WOs section, click (x) Person (or (x) People if more than one person is assigned). The Assign WO # (x) modal appears.
  3. Click the technician drop-down list.

  4. Uncheck the box(es) next to the technician(s) you wish to unassign, and check the box(es) next to the technicians you wish to assign.

  5. To the right, click the black arrow  to close the dropdown options, and then click Assign underneath. The work order is reassigned, as confirmed on the screen.

Unassigning Technicians from Work Orders

Should you need to remove a technician assignment, you can simply navigate to that technician and unassign the work order. You may need to do this, for example, when a technician is assigned by mistake, or when automation rules are not updated with the right technicians.

Should you need to remove only one technician, use the Employees tab to locate and remove that person.

⦿ How to Unassign Work Orders from a Technician
  1. Under the Employees tab, locate the desired technician.
  2. Click the arrow  to the right of the technician's name to view the list of assigned work orders.
  3. Next to the desired work order, click the. The work order is unassigned, as confirmed on the screen.

Unassigning All Technicians from a Work Order

You can unassign technicians from work orders. This removes all technicians from your client's work order view, although the work order itself will still be assigned to your company. All work orders without at least one technician assigned appears under the Unassigned section in the Unassigned / Assigned view area.

⦿ How to Unassign all Technicians from a Work Order
  1. Expand the WOs: Unassigned / Assigned view area located in the upper-left corner.
  2. Under the (x)Assigned WOs section, locate the appropriate work order and (x) Person (or (x) People if more than one person is assigned). The Assign WO # (x) modal appears.
  3. Click the technician drop-down list to view all technicians assigned.

  4. Uncheck the boxes next to the technicians you wish to assign.

    Should you have a long list, simply click Select All twice. Clicking it once selects everyone, clicking it the second time deselects everyone.

  5. Click the black arrow  to close the dropdown options, and then click Assign underneath. All technicians are unassigned, as confirmed on the screen. The work order appears under the (x) Unassigned WOs section.
