Standard Analytics Dashboards


Standard Analytics gives you out-of-the-box dashboards for an array of data: work orders, invoices, proposals, assets, facilities operational costs, contractor scorecards and key performance indicators for providers, user permissions, and NTE data. 

  • View reports — called “dashboards” — that tell the story of what is happening in your operations: brand uptime, repair and maintenance spend, asset conditions, and contractor performance.

  • Filter your data, and then share them across your organization in interactive PDFs, CSVs, or Visualizations.
  • Schedule reports to email to colleagues regardless of their access to Service Automation.
  • Pin select dashboards to Boards or mark dashboards as Favorites.

Important

What you can see in Analytics is determined by your Service Automation access. You can only see Work Orders/Proposals/Invoices for the Locations/Regions/Districts and Trades/Categories you already have permission to see in Service Automation.

List of Dashboards and Recommended Use 

There are a lot of dashboards available; where to begin?! Viewing the right dashboards will give you the right story at the right time.

There are certain dashboards that we recommend you use daily or weekly, while others can be viewed monthly or quarterly, in preparation for meetings or budget reviews. Others still can be viewed "just in time" in line with compliance or an operational review.

Below is a guide on the recommended use for each dashboard.

  1. *Insite 
    • Provides a detailed view of many aspects of your facilities operations, contractor performance, repair and maintenance spend, and assets.
  2. Facilities Cost Report
    • Quick insight into facilities spend by location, trade, and category.
  3. Invoice Reports
    • Details all invoices and invoice details at the transaction level, within a specified time frame.
  4. PM Upcoming WOs
    • Summarizes anticipated planned maintenance work orders expected to dispatch, along with forecasted spend. You can also view this on a monthly basis.
  5. Proposal Reports
    • Details all proposals, proposal details, and proposal actions within a specified time frame.

Monthly

for operational monitoring, adjustments, and compliance

  1. Asset Analytics
    • Highlights current and historical work orders on location assets, facilities spend on assets, and asset conditions and warranties, driven by the Assets Module. 
  2. Contractor Scorecard 2.0
    • Measures and tracks service provider performance on various dimensions, such as reliability, timeliness, quality, and cost of service.
  3. PM Upcoming WOs
    • Summarizes anticipated planned maintenance work orders expected to dispatch for the month, along with forecasted spend. You can also view this on a Daily/Weekly basis.

Quarterly

for operational reporting

  1. Contractor Scorecard 2.0
    • Measures and tracks service provider performance on various dimensions, such as reliability, timeliness, quality, and cost of service.
  2. Discovery
    • Establishes trends within your facilities operations by comparing monthly data on work orders, invoices, and providers from the current year to that of the year prior.

Quarterly

for spot-check monitoring and adjustments

  1. NTE Optimization
    • View whether the configured not-to-exceed amounts (or NTEs) are too high or too low so you can adjust them accordingly.

Just-In-TIme

to review information, when needed

  1. MLI Approval History Report
    • Lists invoices and their approval status in the multi-level invoice approval hierarchy.
  2. NTE Change - Audit Trail
    • Lists work orders where the not-to-exceed amounts (or NTEs) were changed, by whom, and when.
  3. User Permissions Report
    • Lists users permissioned to use Service Automation.
  4. Work Order - All Calls Report
    • Details all work orders within a specified time frame, along with data from linked work orders.
  5. No Activity on Work Orders
    • Shows Open and In Progress work orders with no activity within the specified time frames.
