Viewing Proposals

In the Proposals module, you can view proposals that you’ve submitted to your clients, void a sent proposal before your client approves it, and copy a proposal to create a new one.

You can access the proposal details either from the proposals list or the WOs list.


Accessing a Proposal from the Proposals List

By default, the list displays 20 proposals. To view more proposals at a time, use the pagination in the upper-right of the list. You can view up to 100 proposals on a single page.

Quick Tips

  • When you filter proposals, note that the three statuses  — Open, On Hold, and Reviewed — are selected by default in the Proposal Status filter. The default value is also set for a proposal date and a report type. By default, you get the list of proposals created over the past month, and you view and process them online.

How to Access a Proposal from the Proposals List

 

  1. On the top navigation bar, click Proposals. The proposals list shows up.

  2. (Optional) Apply the filters and search options that you need, and then click Apply at the top of the page. The list of proposals that match your search criteria is displayed. Learn more about Filtering and Searching for Proposals.

  1. On the proposals list, select a proposal you want to view and click View Proposal. A separate page with the proposal details opens.

On the proposals list, you can review proposals that match your applied filters. The proposal details displayed on the page include the location info, proposal amount, requested date, associated WO or PO number, proposal status, WO priority, WO problem description, and attachments. Note that the WO number, purchase order number, and WO problem description are displayed only if the proposal is linked to a work order.

Quick Tips

  • On the WOs list, if there is a proposal available for the work order, you see a link as well as the current proposal status. To go to the proposals list showing the proposal details, hover over the proposal number, and then click the link in the tooltip that appears.


Proposal Statuses

Each proposal on the list is color-coded to give you a visual cue on its current status. The legend at the top of the page helps you identify the proposal status.

Red

Open

Proposals that haven't been reviewed by your client.

Available actions:

  • View Proposal: Open the proposal details.

  • Void: If needed, you can void open proposals.

  • Copy & Create New Proposal: You can create a new proposal by copying the existing one.

Yellow

On Hold

Proposals that require your client’s further review before being approved or rejected.

Available actions:

  • View Proposal: Open the proposal details.

  • Copy & Create New Proposal: You can create a new proposal by copying the existing one.

Blue

Reviewed

Proposals that are going through the multi-level proposal (MLP) approval process. These proposals are being reviewed by your client, and the final decision is still to be taken.

Available actions:

  • View Proposal: Open the proposal details.

  • Copy & Create New Proposal: You can create a new proposal by copying the existing one.

Green

Approved

Proposals that have been already approved by your client. Your proposal may be either Approved (Not Scheduled) or Approved (Scheduled)

Available actions:

  • View Proposal: Open the proposal details.

  • Schedule: For approved proposals, you can book a time for your services by clicking Schedule.

Gray

Rejected

Proposals that have been rejected by your client.

You can see the proposal rejection reason if your client has specified it.

Available actions:

  • View Proposal: Open the proposal details.

 

Void

Proposals that have been voided by your company. Such proposals are deleted on the client's side. 
Providers can access voided proposals only via the link in the email notification about the proposal creation. 

Yellow

Pending External Approval

Proposals submitted against Connector work orders. The status is used for the Proposal Connector functionality.

  • View Proposal: Open the proposal details.
