Filtering and Searching for Proposals

You can locate proposals with the filter and the search tabs. Using these tabs saves time when having to locate specific proposals. Each method provides an accurate and quick approach to finding any proposal.

The filter options allow you to select from a variety of criteria to pinpoint and then find proposals that fit into those selections. For example, you can select the location ID, client, and amount filters, and proposals will appear in the list view based on the criteria. You can also locate proposals by saving your filter selections for future use. Saved filters can be edited and deleted at any time. 

The search options allow you to find a specific proposal by using at least one of the search choices.

Filtering Proposals

You may filter proposals by their status, submission date, assigned user, and other criteria.

When you filter proposals, note that the three statuses  — OpenOn Hold, and Reviewed — are selected by default in the Proposal Status filter. The default value is also set for a proposal date and a report type. By default, you get the list of proposals created over the past month, and you view and process them online.

Quick Tips

  • The maximum number of proposals you can view on the Proposals List is 100. Should you receive an error, go back to the Search and Filter page, and modify your search criteria.

How to Filter Proposals

 

  1. On the top navigation bar, click Proposals. Alternatively, you can click the menu icon in the upper-left corner and select RFPs / Proposals View Proposals.

  2. In the Filters panel, apply filters to retrieve the proposals you need. Read about filtering criteria below.

  3. When ready, click Apply.

You land on the Proposals List, displaying proposals based on the filters you applied.

Additional filters may be available depending on your system configuration.

  1. Proposal Date / Scheduled Date / Action Date. Pick the required date type, and then specify the time period.

  1. Time Period. Only one of the following options can be selected at a time. The filter defaults to Past Month. Remember to click the Filter button after you specify the time period.

    • You can select from the pre-defined options, such as Yesterday, Today, Past Week, Past Month, Past 3 Months, and Past Year.
       

    • Another way to use the filter is to enter the number of Hours, Days, or Weeks in the Past field. Pay attention that the Past filter is limited to one year.


    • When you need to specify a date range, use the Range section, and pick the required Starting At and Ending At dates. The date range period shouldn’t be more than 5 years.

      Be aware that these filtering options work based on the user’s time zone, while the proposals list displays proposals based on the related location’s time zone. When you deal with different time zones, take into account the time difference. 

  2. Users. You can filter your proposals by users assigned to your proposals on the client's side. The drop-down list contains your clients' users who have been assigned to review and take action on your proposals.

  3. Proposal Amount. Enter the amount range values to find proposals where the total falls within the specified range. Remember to click Apply.

  1. Proposal Statuses. Select the required checkboxes to display proposals in multiple statuses in the list view. Read more about proposal statuses.

  1. Trades. Pick the required trades from the drop-down list one by one or all at once. Alternatively, click the list icon

    to the right to open the overlay with all your trades.

  1. Categories. Pick the required categories from the drop-down list one by one or all at once. Alternatively, click the list icon

    to the right to open the overlay with all your categories. 

  2. Location. Use this option to view proposals filtered by any of the following location criteria:

    • Location ID

    • Location Address

    • Location Name

    • Region

    • City

    • State

    • Country 

    • District

  3. Subscribers. Pick the client to view only the proposals that were created for that company. You can select several clients at a time.

  4. W.O. Priority. View proposals of the selected WO priority.

  5. W.O. Status. View proposals of the selected WO status.

  6. W.O. Extended Status. View proposals of the selected WO extended status. 

  7. Proposals with Attachments. Use this toggle to locate proposals with attachments or with no attachments.

  1. Proposals with a Work Order. Use this toggle to get proposals associated with work orders or associated with no work orders.


Searching for a Proposal from the List View

In the Search panel, you can find the required Proposal using the following criteria:

  • Proposal number

  • Work order number linked to the proposal

  • Purchase order number

Quick Tips

  • Hover over the info icon to learn how you can search for proposals by proposal number.

  • To search for multiple proposals, enter the exact proposal numbers separating them with a comma, period, semicolon, or space.

  • When a proposal number contains a comma, period, semicolon, or space, enclose the number in double quotes. For example, "12345, WM"

  • When a proposal number contains double quotes, add a backslash \ before each double quote. Then enclose the number in double quotes. For example, "12345 \"WM\" 112"

How to Search for Proposals

 

  1. On the Proposals List page, click Search For to activate the Search panel.

  1. Enter the required number in the corresponding search field.

  2. Press Enter. The Proposals List will be refreshed with new information.
