Entering a Leak Record

When refrigerant assets have a leak, you create a leak record for a single or multiple assets on a work order. This allows for constant updates on leak events which helps with maintaining accurate data and upkeep on the assets.  Your client can also record leak events while performing services on the asset. You can perform this task in SC Provider Mobile as well.

Completing all Details for a Leak Record

When you are ready to complete and finalize a leak record, clients are requiring the technician(s) to enter information for each data field and textbox. This is designed to ensure the technician(s) is going through each step and filling out the required information. This reinforces thoroughness when finalizing the process of a leak record.

Data fields and textboxes are allowed to be left blank on work orders as long they’re in the status of:

  1. Open

  2. In-Progress

 

When leak inspection work orders are processed the user must acknowledge the compliance state that confirms completion of the work in accordance with your clients requirements.

 

⦿ How to Enter Leak Inspection for a Single or Multiple Assets on a Work Order in Provider Automation

  1. Locate the work order from the list view and click Enter Refrigerant Usage button

  2. Answer the leak and refrigerant questions

  3. Optional: Add or replace technician

  4. Click Next to continue

  5. Acknowledge the Compliance Statement

  6. Add or update the asset(s)

  7. Click Next to continue

  8. Fill out and complete all Leak Event information

  9. Click the Save Leak button

  10. Optional: Add additional required leak inspection information for other assets

  11. Click Done when finished

 

Completing Leak Verification Audit

To help stay in compliance with various regulators and/or regulations, ServiceChannel within Refrigerant Tracking provides a history of audit repair attempts. Real-time changes occur each time a user enters an initial verification date and method or a follow-up verification date and method. This includes records for failed attempts during services. The failure reason is required if the verification equals false. This audit table will be displayed as an expansion option at the bottom of the leak record where a user can review the history of verification attempts if needed. This additional recording keeping maintains details records for each attempt and its outcome when performing leak verifications.

⦿ How to Enter Leak Verification for a New or Current Work Order from the Work Order List View

  1. Locate the work order from the list view and click Enter Refrigerant Usage button to open the modal

  2. Answer the leak and refrigerant question

  3. Click Next to continue

  4. Click the + icon to add a certified technician

    1. Optional: If certified technician is already included, go to the next step.

      Select Technician
  5. Click Next to continue

  6. Acknowledge the Compliance Statement

  7. Click Next to continue

  8. Click the + icon add the asset(s)

    1. Optional: Follow the next step if the asset is added

  9. Click Next to continue

  10. Fill out and complete all Leak Record information

  11. Complete the Leak Verification Information with the following:

    1. Use the drop-down to select Verification Type.

    2. Enter the date.

    3. Use the drop-down to select a Verification Method.

    4. Optional: Click the box for failed.

    5. Optional: Type-in a reason in the box if failed.

    6. Add the + icon to add the Verification.

  12. Click the Save Leak button

  13. Click Next to complete Refrigerant Use and finalize

  14. Click Done when finished

When completing a refrigerant asset work order, in the Part Usage modal, if a regulated part is selected and its quantity is 0 or less at a selected location, you are not allowed to use this part unless the Use Reason is set to ‘Removal’. This controls the inventory for regulated parts and maintains accuracy with those parts’ quantity. Restricting Negative Quantity for Regulated Parts is only use for Internal when selecting an Inventory Source Location.

When completing a refrigerant asset work order, during the refrigerant Part Used section, selecting regulated part at an inventory location that has 0 quantity for a specific regulated part is not available. This means you will have to select a different inventory location which has the regulated part. Restricting the Ability to Add Regulated Parts with Zero Quantity is only use for Internal when selecting an Inventory Source Location.
