Setting options for LNHs

There are several options that can be configured for Location Note Headers:

Protected

Location Note Headers marked as Protected can be seen by both corporate and location users, but they remain uneditable for anyone except users with the Note Admin permission. This allows you to restrict multiple location users from changing location headers while still viewing the information.

The Note Admin permission can be granted by ServiceChannel staff only. This permission allows users to mark any Location Note Header as Protected in the Admin module and to edit protected LNHs and their values.

PrivateLocation Note Headers marked as Private are viewable only by corporate users (unless locations are enabled to see private notes in Edit Dashboard Settings). These fields are not visible on work orders, therefore service providers can not see them.
Search Type

You can specify whether a location note field is searchable or not. If you choose to make a field searchable, it will appear on primary search pages for report filtering. You will also be able to assign access to users by the field data. Location Note Headers can be set to one of the following search types:

  • None: The LNH will not be available as a search criterion across the platform.
  • Exact: You will be able to search for work orders, proposals, locations, and more by this LNH, but you should always enter the exact location note value to get the search results.

  • Contains: You will be able to search for work orders, proposals, locations, and more by LNH using a keyword.
List Visibility

You can specify which of your LNHs should be visible on the work orders, proposals, and/or invoices lists — under the location address.

Up to 2 LNHs can be added to each of the lists.

List Visibility includes the following options:

  • Show on Work Order List
  • Show on Invoice List
  • Show on Proposal List

Instead of having to drill into the work order detailed view, for example, users will be able to immediately see key location information in the list view.

Let’s take a look at an example. When you search for work orders by location notes, the drop-down list contains 5 location note headers as search criteria.

These are the LNHs that are marked as searchable (either the Exact search type or the Contains search type) in Admin. 

The Location Note Headers appear in the order that they are shown on the Location Note Headers page in Admin. If you would like for them to appear in a different order on the search page or within the dashboard, you can change the order.

Location Notes Headers marked as None are non-searchable and do not appear among the available search criteria on the work orders list.

Once you pick the required location note header, for example, Facility Manager, on the work orders list, you are asked to specify the value. The field will give you a hint as to what search type should be used.

When you create a work order in dashboard and location notes are enabled in your dashboard settings, you will see the location notes to the right. Note that Location Note Headers marked as Private will not appear in that box unless private notes are enabled in your dashboard settings.
