Provider Onboarding Dashboard

The Provider Onboarding Dashboard is a helpful tool that allows you to streamline the onboarding process of new providers to your Private Network.
How Does It Work?
It highlights the specific steps that you need to take to move your providers through the onboarding process.
The onboarding cycle is divided into 6 steps. For each step, you will have a tile with the corresponding number of providers and the ability to act on each provider.
Step 5, Pilot Testing, is optional. You can choose to assign a new provider right away, without testing their performance first.

Navigating the Provider Onboarding Page
You can access the Provider Onboarding Status page from Compliance Manager by switching to the Onboarding tab.
On the Provider Onboarding Status page, you see 6 tiles where each tile matches the specific step in the onboarding process.
Invited
Pending Compliance
Ready to Accept
Providers who have been invited to join your Private Network but haven’t responded to the invitation yet.
Providers who have accepted your invitation and are currently submitting the required compliance information.
Providers who have completed all necessary compliance requirements and are waiting for compliance review on your side. This tile also includes providers who completed all necessary compliance requirements but were labeled to prevent being accepted to your Private Network.

(optional)
Fully Onboarded
Providers who have been accepted to your Private Network. You can start ranking these providers in Locations & Provider Assignments.
A pilot is being conducted for these providers to try them out. Before they can be ranked, they should complete the specified number of work orders for designated trades and locations. Learn more about Pilots.
Providers who have successfully completed the onboarding process, have been ranked in Locations & Provider Assignments, and are ready to receive work orders. Pilot providers are excluded from this metric due to the temporary nature of assignments.
Tile Overview
Hover over the info icon to view additional information on each onboarding status.
The number in each tile corresponds to the number of providers who are currently going through this onboarding step. Click the button below the number to move the providers forward.
The number in the Fully Onboarded tile turns green once you complete onboarding at least 1 provider.
For other tiles, we show only zeros in green to specify that you took the required action, and nothing is required from you at this step anymore.
The action button in each tile allows you to view and take action on your providers. Available actions for each tile are described in Taking Action on Providers from the Onboarding Page.
Taking Action on Providers from the Onboarding Page
Check what actions are available to you under each tile. Pay attention that for a single tile there can be different actions available (for example, VIEW and EXPLORE) based on your permissions and based on the number of providers going through the particular onboarding step.
When action buttons are not available for some of the tiles, please check your permissions and roles.
- The Provider Assignment Editor role is required to be able to rank providers.
- To manage Provider Pilots and Provider Assignment Waitlist, ensure you have either the Power User or the Provider Assignments Editor secondary role.
- The Analytics license is required to view the Contractor Scorecard 2.0 dashboard.
Invited
VIEW: Click the View button to check active invitations in the Sent status created over the whole period of time with ServiceChannel. Invitations are also sorted by expiration date where those nearing will appear on top.
EXPLORE: When the number of invited providers shows 0, you can click the Explore button in the tile to search for new providers via Provider Search or legacy search tool.
Pending Compliance
REVIEW: Click the Review button to navigate to your active invitations. You can review invitations in the Pending status created over the whole period of time with ServiceChannel as well as track which of your compliance requirements have already been completed.
Ready to Accept
VIEW: Click the View button to navigate to your active invitations in the Replied status created over the whole period of time with ServiceChannel. You will see invited providers who completed the compliance requirements needed for the provider to be accepted. From there, you can accept your providers to your Private Network.
Should the Accept button be disabled for a provider on the My Invitations page, check whether this provider has been marked with a label to prevent accepting this provider to your Private Network.
Ready to Rank
RANK: Click the Rank button to navigate to the Provider Assignment Waitlist in Locations & Provider Assignments and assign providers to the required locations and trades. The number includes providers who have been accepted to your PN over the past 12 months.
Should you have the Provider Assignment Waitlist turned off, you will navigate to the Locations & Provider Assignments page instead.
Make sure you have the Provider Assignment Editor or the Power User role to rank providers. Otherwise, the Rank button will be unavailable.
Pilot Testing
REVIEW: Click the Review button to navigate to Provider Pilot Assignments and check which providers are going through the test period.
LEARN MORE: When the Pilots feature is not enabled for you, you can click Learn More and navigate to SCU to read about this feature and decide to have it enabled.
Fully Onboarded
REVIEW: Click the Review button to head to the Contractor Scorecard 2.0 dashboard in Analytics. From there, you can track and evaluate the performance of providers who have already completed some work orders for you.
Make sure you have access to Analytics. Otherwise, the link to Analytics will not be available.
How to Onboard New Providers from the Onboarding Page
Follow these steps to onboard new providers from the Provider Onboarding Status page.
- Click the Explore button in the Invited tile. You are navigated to Provider Search.
- (For US companies) Search for a new provider via Provider Search based on your business needs.
- Click Invite for the required provider, and complete the invitation form.
- Once an invitation is sent, the number in the Invited tile updates to display the number of sent invitations. Click View to see the invitation.
- Wait for the response from the invited provider. Once the provider accepts the invitation, the Pending Compliance tile will update to reflect this change. Click Review to track the provider’s profile compliance.
- Give the provider some time to complete your compliance requirements. Once all the requirements are completed, the provider will move to the next step — Ready to Accept. Click View in the tile to accept the provider.
- Click Accept to let the provider join your Private Network.
- The provider is now in your Private Network. The Ready to Rank tile updates to reflect this change. Click Rank to assign the provider to the required locations and trades in Locations & Provider Assignments.
- (Optional) You can enforce a test assignment period for a new provider. Click Review, and then assign providers to the trades and locations temporarily. Learn more about Pilot Testing.
- Once the provider is ranked, the Fully Onboarded tile updates to reflect the number of providers who completed the onboarding process and are ready to accept work orders. Click the Review button to see the Contractor Scorecard 2.0 dashboard in Analytics and check the provider’s performance.
The Contractor Scorecard 2.0 in Analytics reflects data on onboarded providers who have already completed the number of work orders required to calculate the score. If they have just been assigned to locations and trades, they will not have any performance data.
