Configuring Projects Levels and Rules

Projects Approval Configuration dictates the Project Approval Level and Project Approval Rules when it pertains to managing and overseeing a project. The benefit is to ensure high level projects are approved appropriately. Having this configured will ensure that any projects being submitted over a certain threshold, will need to route for approval, before tasks can be Issued/Dispatched. It can be an optional choice to use as an oversight tool. Multi-Leveling Invoicing and Multi-Level Proposal configurations are taken into consideration if Project Level Approval is not used.

Project Approval Level

Project Approval Level creates the hierarchy or ranking for approving projects. It is the level determined by the organization’s structure for handling projects. For example, when an organization has 4 different approval levels for a project, it can be implemented the same way. Single or multiple users can be added into a level and determine their location access for project approvals.

⦿ How to Create a Project Approver
  1. Click the Add Level button under Project Approval Level on the Approval Configuration page.
  2. In the textbook, create the Level name.
  3. Click the Save button to save the level name.
  4. Click the +Add User button to add a person to a level.
  5. Find a user by searching with the drop-down arrow or typing.
  6. Click the Add User button to enter the person into level.
  7. Click the Location Link to add location access for the level user.
  8. Click the Add Location Tab to bring up locations. 
  9. Add Location by searching with the drop-down or typing.
  10. Click the Add # Location button to add location for the level user.
  11. Click the Save button to save the locations for the level user.
  12. When completed, click the Close X button to return back to the Approval Configuration page.

Project Approval Rules

Project Approval Rules determines the approval level limits for an approver. Depending on the complexity, size, and cost of a project, the rules help ensure that each respective person reviews the project before receiving its final approval. Project Approval Rules are based on the monetary amount for a project. Each level will have a rule set to approve a project without further approval.

⦿ How to Set Project Approval Rules
  1. Click the Default Rules Set Link under Project Approval Rules on the Approval Configuration page.
  2. Click the +Add Level button to enter the rules page.
  3. Using the drop-down arrow, select the Level that needs to have a rule added. 
  4. Add a Maximum Amount the level can approve a project without needing further approval. 
  5. Click the Save button to save the rule.
  6. Click the Close button when finished with Project Approval Rules.
