The Details by Region dashboard in the Facilities Cost Report breaks down facilities invoice amounts by Region. You can analyze this matrix for regional and district spend by Trade and Category. Here, you can see data from the past 30 days (by default) or by the criteria set in the the filters on  all-inclusive filters along the top of the report.

You can download this report onto your local drive for sharing, viewing, and further data manipulationthe data and email reports to recipients.

Here, you can compare facilities spend by Trade and Category across all Regions. Data is organized by Trade in each row and by Category in each column. 

The following data is listed in this report, sortable by these column headers:

  • Region
  • Category
  • Trade
  • Invoice Amount
  • Sum

For each Region, you will see a Sum (subtotal) of all invoice amounts per Category across all Trades.

There are also two Total Sum datapoints:

  1. the Sum Column (extreme right of the table) represents the total invoice amounts for that Trade across all Categories but within that specific Region.
  2. the Sum Row (extreme bottom of the table) represents total invoice amounts for that Category across all Trades and across all Regions.

  • Sum 1 represents only the total HVAC Doors Trade costs in only the West Europe Region.
  • Sum 2 depicts only the total Repair Category costs across all Trades in only the in the Northeast Region only.
  • Sum 3 shows only the total Maintenance Category costs across all Trades and all Regions.
  • Sum 4 (Grand Sum) summarizes the total costs across all Categories, all Trades, and all Regions.

Reviewing Visualization Data

You can also drill down to review spend by District. Click a Region to see a data table broken down by District.

Use the graph tools on the upper-right of the modal to see visualizations of District data, as illustrated below.

To download the graphs, use the icon Image Removed next to the report name on the upper-left to save in PNG or PDF formats.

On top of the report are all-inclusive filters to help you hone in on key data. All reports on the page are affected by the criteria set in these all-inclusive filters.

You can filter by the following criteria:

  • Invoice Approval Date

  • Category
  • Trade
  • Region
Tip

Once you have your filters set, you can save the filter view so you can easily access the data. You can save multiple filter views, as needed. After setting your filters, click *Unsaved View on the top-right of the page, and then Save current view...

    You can either download individual reports or download all reports into one file. Your reports will download with the criteria set in the global filters.

    Downloading Individual Reports

    When hovering your mouse over the data table, an iconImage Removedappears next to the table name. Click the icon to choose which format to download your report.

    Note

    The section title and the table title may have the same name. The table title is smaller and directly above the table.

  • On the desired table, mouseover the table title. The download iconImage Removedappears.

  • Click the icon, and then select Download As...
  • Choose the desired format (PDF, Microsoft Excel XLSX, CSV-formatted, or CSV-raw data).

    Tip

    When downloading tables to PDF, PDF (Landscape) is the recommended option.

  • When prompted, save the report to your drive.

    1. On the top-right of the screen, click the gear icon.

    2. Choose the desired format:
      1. Export to PDF saves the current page view as a PDF file. Only the data immediately listed on the page will appear in the PDF export.
      2. Export to XLSX saves all data in a Microsoft Excel XLSX spreadsheet. Each table is saved on a different Excel tab.
    3. When prompted, save the report to your drive.
